Job description

Job File Coordinator

We are an established disaster restoration company serving the Wilmington, DE community. We restore homes and businesses after storms and unexpected water, fire or mold issues. We are currently in search of a Job File Coordinator to act as the administrative and organizational hub for projects, ensuring all job-related documentation is accurate, complete and meets program requirements.

The Job File Coordinator is responsible for tasks related to customer calls, job monitoring, tracking, coordination and audits of jobs. The Job File Coordinator will also perform general office duties, such as drafting correspondence, filing and creating reports.

Key responsibilities include:

  • Monitor job file status and job file and audit status.
  • Monitor and ensure client requirements are followed.
  • Review and validate initial field documentation.
  • Create preliminary estimate.
  • Daily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit process.
  • Maintain internal and external communications.
  • Complete and review job file documentation for file upload and audit process.
  • Perform job close-out.

Qualifications include:

  • Administrative experience.
  • Familiarity with Xactimate software.
  • Experience with Contractor Connection is highly desirable.
  • Experience in disaster restoration, commercial cleaning, construction or insurance industry is preferred.
  • Experience writing estimates, compliance, job file processes and quality assurance is a plus.
  • Outstanding written and verbal communication skills.
