Job description

We are seeking a highly organized and customer-focused Install Coordinator to manage the installation process from the point of sale through project completion, ensuring a seamless experience for both customers and internal teams. This role is responsible for coordinating scheduling, equipment and material availability, documentation, and communication while supporting quality control and ensuring projects are completed accurately and on time.

This is an In Office Role in Anthem, AZ 
Monday - Friday 6:30am - 3:00 Pm 

Key Responsibilities:
  • Schedule installation jobs and confirm appointments with customers.
  • Coordinate crews, equipment, deliveries, and crane services as needed.
  • Maintain the installation calendar and monitor scheduling efficiency.
  • Communicate with Sales, Install Managers, Warehouse, and other departments to ensure projects stay on track.

Customer Communication

  • Provide customers with pre-installation expectations and appointment details.
  • Answer customer questions and coordinate schedule changes.
  • Follow up after installation to ensure satisfaction and process warranty registrations.
  • Equipment & Material Coordination
  • Verify equipment availability and confirm materials match the sold job.
  • Coordinate special orders, accessories, and backordered items.
  • Ensure all materials are available prior to installation.

Sales-to-Install Handoff

  • Review sold jobs for accuracy, including pricing, scope, financing, equipment selections, and labor requirements.
  • Ensure all required documentation is complete and maintain accurate job records.
  • Process rebates and verify project closeout documentation.
  • Change Orders & Quality Control
  • Coordinate change orders, return visits, and quality control inspections.
  • Track callbacks, punch list items, and corrective actions.
  • Maintain accurate installation and quality control records to ensure successful project completion.
Qualifications:
  • 2+ years of experience in an administrative, scheduling, or customer service role in HVAC, construction, or a service-based industry.
  • Strong organizational and multitasking skills with attention to detail.
  • Experience with dispatching software and scheduling tools (ServiceTitan, FieldEdge, etc.) preferred.
  • Excellent customer service and communication skills to handle inquiries and resolve issues.
  • Ability to work efficiently in a fast-paced, deadline-driven environment.
