Job description

To support the Middle School Principal in the daily operation and organization of the Middle School by maintaining student records, managing events, supporting communication, and assisting with student supervision. This position serves as a liaison between families, students, faculty, and administrative staff, and contributes to a well-structured and Christ-centered educational environment. A background screening is required of all candidates offered employment.
REPORTS TO:
Middle School Principal
QUALIFICATIONS REQUIRED: Strong organizational and communication skills, proficiency with student information systems (e.g., FACTS), comfort working with Google Drive, spreadsheets, and AV tools. Experience in event planning and school-based administrative support preferred.
RESPONSIBILITIES:

  • Compile and send student transcripts; serve as a liaison between schools regarding academic records and placement.
  • Enter student schedules, parent/teacher conferences, teacher/student meetings, communication forms, and disciplinary actions into FACTS.
  • Maintain detailed spreadsheets tracking student infractions and organize all Middle School Google Drives to ensure accuracy, accessibility, and relevance.
  • Coordinate and schedule Middle School events such as the High School Fair, Spelling Bee, and 8th Grade Graduation.
  • Collaborate with vendors and service providers for event logistics, including food trucks, DJs, and catering needs.
  • Order, pick up, and manage food items (e.g., cookies, pastries, beverages) for events and special occasions, including 8th Grade Graduation, NJHS Reception.
  • Facilitate parent involvement through donation drives and volunteer coordination for school functions, including Jingle Jam and End of Year event.
  • Create AV slides and visual content to promote important school information and events.
  • Compile and assemble informational folders for new student orientation, Curriculum Night, Middle School meetings, beginning of year and end of year content.
  • Assist in the annual editing and distribution of the Middle School Handbook to ensure alignment with school policies.
  • Lead monthly small-group discussions with middle school students during chapel, facilitating conversations based on a provided faith-based curriculum to support spiritual development and character growth.
  • Lead daily lunch duty and assist with student supervision before and after school, between classes, and during school events.
  • Assist with arrival and dismissal duties.
  • Provide administrative support to the Advanced Math teacher by managing Math League correspondence and advanced math placement invitations.
  • Coordinate the annual Spelling Bee, including judge materials, event slides, and student study packets.
  • Assist with production and procuring of graduation materials and certificates (NJHS, Presidential Awards, Academic Awards).
  • Support yearbook staff with yearbook advertisement management and verification of 8th-grade names and photos.
