Job Summary

Reporting to the Fuel Facilities General Manager; the Fuel Facilities Accounting Manager will work directly with the Fuel Facilities management team and will lead the Fuel Facilities Accounting/Administrators group. In this role, the Accounting Manager will be responsible for efficiently and accurately completing all Consortium Fuel Inventory and Accounting tasks, including but limited to, budget management and month-end close. It is imperative for the Accounting Manager to have strong ethical values and exceptional leadership skills to succeed in this role.

The expected pay rate is $80,000 - $95,000/yr. Full-time employees are offered a range of health and wellness benefits as well as 401(k) with company match paid vacation time, sick time, and company paid holidays.  

Your activities

  • Obtain and maintain a thorough understanding of the business operations and the financial systems.
  • Prepare the annual Arizona Fueling Facilities budget book and present the financial budget to consortium members and Swissport Management.
  • Prepare and track actual to budget variance analyses as it relates to the AFFC M&O.
  • Track AFFC expenses as it relates to special projects.
  • Prepare monthly billing statements and verify/submit accounts payable invoices for timely monthly processing.
  • Review vendor invoice account coding before posting to ensure proper allocation of expenses
  • Prepare monthly journal entries and journal reclassification when needed.
  • Prepare accrual journal 
  • Perform weekly AR AP ageing review to ensure accounts are current.
  • Assist in special projects and/or other areas assigned by management.
  • Overlook payroll processing and prepare annual increases.
  • Verify and process expense reports.
  • Submit all financial information and reports as required by the Controller, General Manager, Auditors, Airline Members within the agreed time frame and format.
  • Ensure that all billing/collection/accounts payable inquiries and/or disputes are answered and resolved.
  • Ensure that all consortium agreements and contracts are filed and maintained for record keeping.
  • Ensure that administrative and control procedures are followed and maintained.
  • Maintain and oversee daily Fuel Accounting according to established A4A Spec 123 Procedures for Accounting of Jet Fuel Inventory.
  • Maintain required Fuel inventories for all Airlines to assure fuel facility capacity is utilized per policies and procedures, including nominations to assure future inventory.
  • Interface with airlines management personnel to implement and/or clarify fuel inventory requirements.
  • Prepare weekly and monthly Fuel Inventory Reports and distribute them to Fuel Facility Managers and consortium members.
  • Perform periodic audits to assure accuracy of fuel accounting procedures.
  • Audit physical Inventory and provide a valid explanation for fuel variance that is out of tolerance as instructed in the A4A Spec 123.
  • Establish meetings with management to inform of issues, concerns and/or opportunities as they relate to Accounting of Jet Fuel Inventory.
  • Make recommendations regarding report format, processes, and procedures.

Your profile

  • BA/BS in Accounting, Business Administration, or related field.
  • Minimum 3 years working in accounting, inventory, or other accounting roles that include monthly close activities.
  • Active listening, presentation and conflict resolution skills.
  • Exceptional interpersonal skills, communication skills and an ethical mindset.

  • Capable of delegating tasks effectively.
