Position Summary
A growing international industrial equipment company is seeking an experienced Japanese-English Bilingual Administrative / Sales Coordinator to support its Houston office. This is a mid-level position for professionals with experience in sales coordination, logistics, customer service, or office administration. The role primarily focuses on supporting B2B sales operations by coordinating quotations, order processing, logistics, and communication with customers and headquarters in Japan.
Key Responsibilities
  • Prepare quotations, purchase orders, invoices, and other sales documents
  • Coordinate with customers and headquarters in Japan regarding quotations, orders, and deliveries
  • Manage the complete order cycle from RFQ through shipment and order completion
  • Coordinate domestic and international shipments, including import/export documentation
  • Maintain accurate sales records and update ERP/internal systems
  • Provide administrative support to the sales team
  • Perform general office administration, including monthly reporting and office supply management
Qualifications
  • Business-level proficiency in both Japanese and English (spoken, written, and reading)
  • 5+ years of experience in Sales Coordination, Sales Support, Logistics Coordination, Customer Service, or Office Administration
  • Experience managing the full order process, including quotations, order processing, shipment coordination, and invoicing
  • Strong Microsoft Office skills, especially Excel
  • Excellent organizational, communication, and multitasking skills
  • Strong attention to detail and ability to manage multiple priorities
