Job description

This Donor Coordinator position is primarily responsible for screening of potential donor candidates. If you meet the requirements listed below and have a desire to work in women's health, we welcome your application! While previous experience is not required, it is highly preferred.
Essential Responsibilities:
  • Review sperm donor applications for eligibility in accordance with Prelude Network donor acceptance guidelines.
  • Conduct initial screening interviews to evaluate applicants for the program.

  • Explains donor program details and key milestones of the sperm donor journey, including required testing, points of denial, IVF cycle, etc.

  • Coordinates genetic risk assessment and review with contracted Genetic Counselors and reviews all genetic reports prior to handoff to sperm donor coordinators.
  • Obtains necessary medical records to establish applicant eligibility for donation.

  • Coordinates donor screening and testing to determine if prospective donors are candidates for sperm donation.
  • Manages donors through screening; coordinates multiple appointments for internal providers (i.e., physician, nurse practitioner, etc.) as well as outside contract providers (Mental Health Providers (M.H.P.), genetic counselor, etc.) with special attention to detail.
  • Able to articulate information of medical nature; may include but not limited to explanation of genetic testing, infectious disease testing, Food and Drug Administration (FDA) requirements for sperm donation, etc.
  • Receives and reviews donor test results before presentation to physician for sign off.
  • Ensures that donor is compliant with FDA requirements for donation, including but not limited to the following: reviewing FDA questionnaire with donor, following up on flagged or non-acceptable answered questions, approving questionnaires in clinic's regulatory compliance software, confirming that FDA physical exam is completed as required and all necessary blood tests are completed.
  • In response to donor questions, provides information available in medical chart and/or provides referral to appropriate licensed personnel for matters which require interpretation of test results, treatment recommendations and/or clinical review.
  • Coordinates all virtual and off-site testing, including sperm donor test kits for out-of-town donors.
  • Collects and prepares applicant photos for sharing in their online donor profile.
  • Responsible for donor profile preparation, reconciliation of information, and review before profile approval.
  • Identifies inconsistencies in donor information and strives to maintain accurate data and records across all systems.
  • Attends meetings to discuss applicant process/management; maintains relevant spreadsheets/documentation.
  • Establish and maintain collaborative relationships with MySpermBank team, Central Donor Recruitment staff, Inception Corporate team and vendors, Prelude Network clinical and admin teams.
  • Able to communicate, problem solve independently and respond quickly to all key team members needs and inquiries.
  • Recognizes opportunities for increased efficiency and shares with supervisor/management.
  • Assists with special projects as needed.
  • Other duties as assigned.
  • Assists in developing SOPs and process as assigned.
  • Participates in professional development activities to keep current with trends and best practices.
  • Cross-trained and provides coverage for other recruiters and coordinators when necessary.

Education and Experience:
    • High School Diploma or equivalent; Bachelor's degree strongly preferred.
    • Minimum of one year of experience in a health care related field highly preferred.
    • Minimum of one year of administrative experience, including knowledge of the healthcare industry, sales and/or marketing, or equivalent combination of knowledge and experience. Prior experience in Third Party or IVF is preferred.
    • Experience with Outlook, Excel and Photoshop preferred.
