Role Summary:
The Communications Specialist supports the technical production, setup, and quality review of member-facing communications across print and digital channels. Working within approved templates and established workflows, this role updates configurable content, supports HTML-based email setup, reviews proofs, coordinates with print vendors, and helps ensure communications are accurate and launch-ready.
This role partners closely with Project Managers, Tech Implementation, and external vendors. Tech Implementation manages the Iterable workflows that trigger communications, while this role helps ensure the communications themselves are properly prepared, reviewed, and ready to move through those workflows.
Location Requirement: Candidates must be currently based in Austin, TX, or be willing to relocate to Austin prior to their start date.
What You'll Do:
  • Review incoming communication requests and gather the required data and source documents needed to prepare member-facing communications.
  • Read, Write and Speak English & Spanish fluently
  • Prepare and update configurable communication elements within approved print and email templates, including HTML-based email template edits and setup.
  • Organize and monitor communications to ensure the correct materials are delivered to the appropriate audience and program.
  • Review and approve new or updated client communications for accuracy, formatting, completeness, and readiness for internal or client review.
  • Coordinate with print vendors on work requests, proofs, revisions, deadlines, and follow-up using established communication processes and templates.
  • Track communication status and updates in Jira and related trackers so stakeholders have clear visibility into progress, risks, and next steps.
  • Partner with Tech Implementation and cross-functional teams to support communications that are configured and triggered through Iterable workflows and related operational processes.
  • Resolve questions, inconsistencies, or missing information by working directly with stakeholders.
  • Maintain strong quality assurance practices to help ensure communications are accurate, polished, and launch-ready across both print and digital channels.
  • Support other communications-related projects and operational needs as assigned.

What we're looking for:
Required
  • Associate's degree or equivalent combination of education and experience preferred.
  • 2+ years of experience in communications production, print communications, email production, template configuration, or a related operational role.
  • HTML experience required for email/template updates and setup.
  • Read, Write and Speak English & Spanish fluently
  • Comfort using spreadsheets, workflow tools, and general business software applications.
  • Strong proofreading and quality assurance skills.
  • Strong organizational skills and ability to manage multiple deadlines in a high-volume environment.
  • Ability to communicate clearly and follow through with cross-functional partners and vendors.
Preferred
  • Experience with print vendors, proof review, or print production workflows.
  • Familiarity with email communications that are configured within a broader platform such as Iterable.
  • Healthcare experience is a plus.
  • Experience supporting regulated or operationally complex member communications.
