BayCare Clinic Corporate Headquarters is looking for an IT Project Coordinator to join our team in Green Bay, WI. We're looking for a compassionate, thoughtful candidate who wants to contribute to a positive experience for all our patients. This position is part time up to 30 hours per week, with typical hours Monday-Friday between 7:00 a.m. and 5:00 p.m. This position is a hybrid role requiring some onsite work at our corporate headquarters office in Green Bay. No Holidays! No Weekends!

We are a physician-owned entity with joint ownership in Aurora BayCare Medical Center, a 167-bed hospital located in Green Bay, WI, offering us a built-in referral base. The Job:
  • Assist in the creation and maintenance of project documentation and templates (e.g., charters, closure reports, communication plans).
  • Track project milestones and deliverables using established project management tools.
  • Compile and distribute regular status updates and reports to project stakeholders.
  • Schedule and coordinate project meetings, including preparing agendas and capturing meeting notes.
  • Maintain project calendars and assist with resource scheduling.
  • Support risk and issue tracking by logging updates and escalating concerns to project managers.
  • Help ensure project documentation complies with organizational standards and procedures.
  • Serve as a point of contact for project-related inquiries and communications.
  • Assist with change request documentation and routing.
  • Provide administrative support to project managers, including document formatting, data entry, and follow-ups.
  • Use existing dashboards and tools to help visualize project timelines and workloads for leadership.
  • Maintain confidentiality and adhere to compliance and ethical standards.

The Requirements
  • Minimum of 1 year of experience in project coordination for IT projects.
  • Education or equivalent work experience will be considered.
  • Experience with project management software (MS Project preferred).
  • Strong communication and organizational skills.
  • Ability to manage multiple tasks and deadlines with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Understanding of basic project management principles (PMP or CAPM certification is a plus but not required).
