Our client is looking for an IT Administrative Assistant to take on the administrative tasks the IT department is responsible for. This will allow leadership to focus on driving the strategic vision of the organization forward while still getting the critical day-to-day tasks accomplished correctly and on time. This person will not be doing any development, but will be working heavily within tools and platforms that the IT department is responsible for. Some of the tasks this person may help with are are IT billing and procurement, documentation, inventory, user access, document archival, schedule and meeting coordination, and organizational communication. Many of the documents this person will be working with are in SharePoint, so SharePoint experience is strongly preferred. The right candidate does not need to have hands on experience with all of the technologies in their environment, but needs to understand that learning how to work in these technologies is a non-negotiable part of the job. Candidates should have strong technical aptitude and a proven history of learning new technologies in jobs. "The IT Administrative Assistant is responsible for providing comprehensive administrative support to the IT team while assisting with the coordination of technology services across the organization. This position helps maintain IT documentation, tracks hardware and software inventories, supports procurement and licensing activities, coordinates service requests, and assists with onboarding and offboarding processes. Success in this role requires strong organizational skills, effective communication, proficiency with office productivity software, and the ability to work collaboratively in a small but high demand technology environment." Essential Duties and Responsibilities โ€ข Helpdesk Triaging: Assess incoming IT support requests, log tickets, and route complex networking or hardware issues to L2 support. Troubleshoot basic technical issues and provide basic technical support to end users in a timely manner. Can assist with the installation and configuration of computer hardware, software, and peripherals. Handles all IT departmental notifications for outages, maintenance, or general information. โ€ข Onboarding/Offboarding/Transferring: Manage system access permissions for new, transferring, and departing employees, order supplies for new employees and retrieving equipment from departing employees. โ€ข Technical: o Manage the IT Team SharePoint site including organizing files and documents, removing duplicates and granting/revoking access o Monitor access levels of IT systems, processes, and networks o Run sophisticated reports, maintain complex worksheets, use formulas, create pivot tables and charts etc. in Excel o Present advanced data presentations using PowerPoint and Excel o Assist with the planning and implementation of IT projects o Be responsible for maintaining all technology products and services managed by the IT department such as Office 365, SharePoint, Docusign, Outlook, Zoom, Okta, WorkDay, Asana, KnowBe4, PrinterCloud, Keeper, Jira, Confluence, etc. โ€ข Inventory Management: Maintain an up-to-date database of IT assets, including software licenses, hardware, and accessories. โ€ข Procurement: Purchase IT supplies, track deliveries, and serve as liaison to the finance team. Facilitate IT purchases, tracking all logistical aspects from initial ordering to completed delivery. Track annual Hardware and Software Budget renewals and expenses. โ€ข Project Coordinator: Coordinates project activities, schedules, resources, and communications to ensure projects are completed on time, within scope, and aligned with organizational objectives. Tracks progress, manages documentation, and supports stakeholders by facilitating collaboration and resolving project-related issues. โ€ข Expense & Contract Tracking: Manage the department budget, track and route software renewals, process vendor invoices on time, and review financial expense reports with management. โ€ข General Clerical: Schedule department meetings and retreats, book conference rooms, and take minutes during IT-focused meetings. Distribute incoming mail and assist staff with administrative duties as requested. Maintain calendars for IT Managers, schedule conference rooms and coordinate AV meetings, as needed. โ€ข Training: Assist with deskside and formal training. Writing instructional and training documents, job aids. Updating IT SharePoint site with relevant information. โ€ข Travel: Coordinate and manage IT travel arrangements, providing detailed itineraries.
