We are currently looking for a IT Asset & Procurement Specialist for our Houston, TX office.

POSITION DESCRIPTION:

The IT Asset & Procurement Manager is responsible for the endtoend execution of IT procurement, asset lifecycle management, mobile device programs, print fleet operations, and related financial processes to ensure the organization’s technology and operational needs are met efficiently, accurately, and costeffectively. This role serves as a central point of coordination between IT, Finance, and external vendors.

The role manages IT procurement execution within Oracle EBusiness Suite (EBS), including purchase request intake, obtaining quotes, vendor coordination, requisition entry, receipt processing, and invoice matching. The position works directly with hardware vendors, distributors, and resellers to secure competitive pricing, manage availability constraints, and ensure approvals move quickly in response to ongoing hardware shortages that affect cost and delivery timelines.

This role oversees invoice and expense management, including coding invoices, matching requisitions to receipts, resolving discrepancies, and ensuring timely payment once receiving is complete. Accurate financial processing and recordkeeping within Oracle EBS supports audit readiness and cost transparency.

The IT Asset & Procurement Manager is responsible for full asset lifecycle management, including receipt, tagging, deployment, tracking, and retirement or disposal of IT assets. The role ensures hardware readiness by maintaining sufficient inventory to support new hires and projects and coordinates device allocation across the organization. The position also manages termination recovery, ensuring hardware is collected upon employee separation to reduce asset loss and control replacement spend.

The role manages the organization’s mobile device and cellular program, including ordering, provisioning, tracking, and lifecycle management of Apple devices, as well as coordinating service plans and support with FirstNet and Verizon.

In addition, the IT Asset & Procurement Manager oversees print fleet management, including coordination of printer service calls, scheduling maintenance, processing quarterly maintenance invoices, managing rental units for projects, obtaining printer purchase quotes, and coordinating delivery and installation. The role is also responsible for procuring printer-related supplies, including toner and paper, ensuring adequate inventory to support ongoing business operations.

Overall, this position plays a critical role in controlling IT and operational spend, ensuring asset accountability, maintaining vendor relationships, supporting audits and compliance requirements, and enabling reliable daytoday IT and business operations.

REQUIRED SKILLS, KNOWLEDGE, AND EXPERIENCE:

  • Strong understanding of IT procurement processes, including:
    • Purchase request intake
    • Obtaining and comparing vendor quotes
    • Requisition creation and approval tracking
  • Experience entering and managing requisitions, receipts, and invoices in Oracle EBusiness Suite (EBS) or similar ERP systems
  • Ability to code invoices accurately, match invoices to requisitions and receipts, and resolve discrepancies
  • Knowledge of approval workflows and ability to expedite purchases during supply shortages
  • Strong attention to detail for financial accuracy and audit readiness
  • Proven ability to manage the full asset lifecycle:
    • Receipt and asset tagging

  • Ability to coordinate termination recovery to ensure timely return of IT assets and minimize replacement costs

  • Ability to manage vendor relationships, pricing, lead times, and fulfillment issues
  • Strong communication and negotiation skills when resolving delivery delays or service issues
  • Experience coordinating with vendors for quotes, returns, replacements, and warranty support
  • Experience managing corporate mobile device programs, including:
    • Ordering, provisioning, and tracking Apple devices

  • Ability to maintain inventory, assign devices, and manage device refreshes

PREFERRED SKILLS, KNOWLEDGE, AND EXPERIENCE:

  • Experience with ITIL, ITAM, or financial governance frameworks
  • Familiarity with SOX or audit requirements related to procurement and assets

  • Ability to analyze spend trends and identify costreduction opportunities
  • Experience creating or improving standard operating procedures (SOPs)

REQUIRED EDUCATION:

  • Bachelor’s degree in Information Technology, Information Systems, Business Administration, or a related field; or,
  • Equivalent combination of education and relevant IT asset management experience

PREFERRED EDUCATION:

  • Bachelor’s degree with a concentration in IT Management, Supply Chain Management, Finance, or Operations
  • Relevant certifications such as:
    • ITIL Foundation or higher
    • Certified IT Asset Manager (CITAM)
