Job description

Position Summary:

RAM Motors, an ISS company, is looking for a reliable Administrative Assistant for our Camp Hill, PA location. The ideal candidate will be responsible for proof-reading information, filing all records, providing some customer service, some communication with customers, inside personnel, trucking companies and ISS repair facilities, as well as obtaining pricing from vendors and assist with all sales efforts.

Essential Duties and Responsibilities:

  • Serve as a liaison between the customer and our repair facilities with current repair and overhaul contract information.
  • Maintain applicable documentation and records, including statistical analysis.
  • Maintain spreadsheets and electronic files for various projects and distribute these to the applicable parties.
  • Provide shipping documents for shipments.
  • Work with our trucking coordinators and our customers to schedule shipments and deliveries.
  • Telephone communication with current and potential customers
  • Bi-weekly review of on-line bid postings and retrieve relevant bidding information.
  • Submit quotations to customers for individual jobs.
  • After obtaining approval, supply this information to the ISS repair facilities.
  • Communicate with customers regarding delivery dates and obtaining customer requirements to be used for production scheduling.
  • Provide unit scheduling to the facility management to ensure that customer delivery requirements are met.
  • Go into the facility production areas to determine delivery dates. This requires going up on the shop floor.
  • Communicate with purchasing to determine when parts are available.
  • Respond to customer requests and issues, including warranty claims.
  • Help to develop quotes for customers on product offerings, repair, and field services.
  • Establish and maintain repair and overhaul metrics for each facility and customer as needed.
  • Ensure that all repair documentation is accurate, complete, and properly recorded in our electronic system.
  • Assist in assembling bids, proposals, and RFP’s for customers in conjunction with the General Manager and Transit/RR Division President.
  • Assist Inside Sales Team with quotations and obtaining pricing for quotations from vendors.

Qualifications:

  • Administrative, customer service or sales experience.
  • 2+ years prior experience in a sales position or contract administration role in a related field is preferred.
  • Able to work productively, independently and as part of a team.
  • Must take notes to ensure that tasks are complete.
  • Ability to communicate effectively with all parties.
  • Exceptional verbal, written, e mail and presentation skills.
  • Ability to obtain information from the customer and effectively relay that information to the team.
  • Experience using computers for a variety of tasks.
  • Competency in Microsoft applications including Word, Excel, Power Point and Outlook.
  • Knowledge file management, transcription, and other administrative procedures.
  • Ability to work on tight deadlines.

Other Requirements:

The Administrative Assistant may be required to travel to customers, shows, training and other required meetings for the job. Overnight stays may be required occasionally.

This job is based in Camp Hill, Pa. The employee must be willing to relocate to this area and work in the office there.
