Job description

The Office Manager is a full-time, on-site role based in Raleigh, NC, responsible for overseeing daily office operations and ensuring a welcoming and organized environment. This role includes coordinating administrative tasks, managing office supplies and equipment, maintaining organized filing systems, and overseeing the IAR calendar, schedules, meetings, and appointments. The Office Manager serves as a primary point of contact for visitors, congregants, and external partners — receiving community members and responding to inquiries in person, by phone, and by email, and directing them to the appropriate person, official, or committee.

Working directly with the CEO and Treasurer, the Office Manager attends Administration team meetings, takes minutes, and helps resolve day-to-day operational issues. The role includes preparing monthly and annual reports for committees and meetings such as Elections and General Body meetings, drafting official IAR correspondence (Employment Verification, New Muslim, and Community Service letters), and managing the organization's property and liability insurance, including renewals.

On the bookkeeping side, the Office Manager maintains IAR's accounts by verifying, allocating, and posting transactions, prepares financial reports summarizing account information and trends, and ensures compliance with local, state, and federal reporting requirements. The role also supervises administrative staff who issue checks, enter deposits into the accounting system, and maintain room reservations — working closely with the CEO, Treasurer, and Finance Chairperson as needed.

In support of the Shura, the Office Manager organizes and distributes meeting notices and materials, maintains organizational files including by-laws, minutes, and policies, and supports the membership team during Shura and ICC elections. The Office Manager also helps direct planning for community events such as the annual picnic, Eid celebrations, and fundraisers, and assists the CEO and IAR Chair with special projects as needed.

The Office Manager is expected to maintain confidentiality, uphold professional standards, and contribute to efficient, respectful, and inclusive office practices.
