This position will work with assigned Department of Psychiatry faculty to develop, prepare and submit grant proposals via various online systems as well as submit grant reports to sponsors in a timely manner. Additionally, this position will provide procurement support for research activities in assigned divisions associated with grant awards, collaborating closely with the assigned Faculty research teams, Office of Sponsored Programs and Grants and Contracts Accounting.

Job Description
FLSA: Salaried
Work Schedule: Monday - Friday, 8:30 am - 5:00 pm
Job Duties:
35% - Develop, prepare and submit grant proposals for assigned divisions or PIs related to clinical and basic research. In addition, collaborates with Addiction Sciences, NCVC, and BSL for their pre award process. Responsible Proposal development and submission process includes:
  • Liaison with Investigators, ORSP grantees and sub-awardees in the assembly of documents needed for submission.
  • Obtain and review program announcements to determine submission process and initiate the indicated process (CAYUSE 424, Grants.gov, etc) .
  • Assist investigators with budget design and budget justifications. This task includes ensuring that the budget is within funding agency and MUSC policies.
  • Engage subcontractors and consultants and obtain necessary information from them for submission process.
  • Responsible for the final submission of grants and contracts, including routing IPFs on Cayuse and following up for all routing approvals.

35% - Perform duties related to the receipt and administration of funded awards.
  • Receive JIT/NOA information provided by ORSP or sponsor, manage the collection of required items for the JIT/NOA.
  • Authorize and manage the establishment of accounts in Workday, verifying the proper approvals, dates, budget amounts, etc.
  • Initiate and maintain necessary documentation for establishing subcontracts and consultants as needed.
  • Assist with re-budgeting requests for awards and contracts. Tracking and facilitating communication between PI and funding agencies regarding changes in effort, contractual arrangements, no-cost extensions, carryover requests etc.
  • Assist in continuation/RPPR reporting; collect required documentation, review and submit information in required systems (Commons, Assist, etc.). Initiate, route, and track Cayuse IPF.

20% - Research Procurement: Oversees research procurement and reimbursements for assigned divisions
  • Creates and disseminates procurement forms for faculty and staff to use when requesting purchases.
  • Checks for accuracy/compliance and works with faculty and staff on procurement needs and processes all complete procurement requests within 48 hours.
  • Tracks orders to ensure that delivery is made in a timely manner.
  • Orders supplies; processes memberships, dues and licenses; processes lab payments, as well as other non-standard orders at the request of appropriate individuals.
  • Processes travel documents, including but not limited to conference registrations and travel reimbursements for all Psychiatry Central Divisions/Programs.

10% - Communication and Other Duties
  • Clearly and professionally communications grant/program matters with diverse stakeholders and communicate financial information clearly and concisely. Verbal communication skills are professional. Adapt communication style to suit different audiences, from technical finance teams to non-financial staff
  • Provide timely responses to inquiries via email, meetings, and other business communication channels
  • Maintain confidentiality while conveying sensitive financial information
  • Presents high level overview and detailed financial data, including variance explanations of all grants/programs at monthly meetings with leadership
  • Prepares for and participates in faculty meetings
  • Meets routinely with program faculty and grant PI's to review status of contracts, grants and other sponsored agreements
  • Other duties as assigned by the Department of Psychiatry Administration to support initiatives in the Department

Minimum Requirements: A bachelor's degree and three years business, personnel, grant-in-aid or public administration experience.
