Associate, Investor Relation Services
Job Title: Associate, Investor Relation Services
Location: On-Site, Norfolk Corporate Office
Job Summary
The Associate, Investor Relations Services, is a member of the Investor Relations Services team and supports the administration of investor relationships throughout the lifecycle of their investments across Harbor Group International entities and funds. This role works cross functionally with Business Development, Accounting, Legal, and Compliance, and will directly impact a rapidly growing organization.
Responsibilities:
Investor Communication and Support
  • Own the release of investor communications through the CRM, including capital calls, distribution letters, tax information, marketing materials, and fundraising efforts, ensuring accuracy and timely delivery across the investor base.
  • Serve as a primary point of contact for allocated new and existing investors
  • Partner with Investor Relations and Business Development colleagues, providing information, materials, and subject matter support to advance broader fundraising and relationship management efforts.
  • Oversee and manage investor investor assignment requests
  • Oversee investor distribution payment resolution

Investor Portal and CRM Administration
  • Oversee activation of new investor and prospect accounts in the CRM
  • Manage the full document lifecycle within the portal, including uploading and organizing reports, forms, and tax documents in line with investor and compliance requirements.
  • Proactively identify investor data discrepancies and errors, drive root cause analysis, and coordinate or implement corrective actions across teams.
  • Own the integrity of investor information within the CRM database, ensuring accurate, timely updates to investor accounts, contact records, and payee records, and recommending process improvements as gaps are identified.
  • Provide support to investor CRM users, resolving technical issues and escalating complex cases
  • Serve as a primary liaison between HGI and the third-party CRM provider, driving enhancement requests, coordinating technical support needs, and communicate priorities in platform discussions.

Capital Calls, Tracking, and Compliance
  • Lead administration of investor fundraising end to end, overseeing investment commitment amounts and maintaining deal tracking spreadsheets to support accurate, real-time reporting to leadership.
  • Manage the full compliance lifecycle for investor documents, including review, distribution, follow-up, and tracking, to comply with applicable regulatory requirements.
  • Oversee new investor record setup and ongoing database maintenance, ensuring data accuracy and consistency to support downstream reporting and decision making.
  • Manage the capital call process from issuance through collection, including sending capital calls, driving follow-up efforts, and tracking payments due and received across investors.
  • Drive resolution of past due payments and outstanding subscription materials, coordinating directly with investors and escalating to leadership as needed
  • Prepare and own Outstanding Documents, Corrections, and Payments reporting, deliver accurate, timely reports on past due investors to support compliance and leadership visibility.

Events and Reporting
  • Support fundraising events, including event invitations, registration management, and preparation.
  • Generate custom reports on investor portfolios as requested by clients, the equity team, or the legal department.
  • Prepare bank reporting for subscription lines and submit subscription documents for review

  • Other special projects and duties, as assigned.

Qualifications
  • Bachelor's degree in business, Finance, or a related field preferred, or equivalent experience.
  • Three to five years of experience assisting and interacting in business development, investment, legal services, or similar environment.
  • Former experience with a CRM platform or investor portal system is required.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and Adobe, with strong Excel skills.
  • Excellent verbal and written communication skills
  • Detail-oriented and highly organized, comfortable working with senior executives and high net worth individuals by phone, email, and in person
  • Strong organizational skills with the ability to prioritize competing deadlines and adapt quickly in a fast paced, dynamic environment
  • Able to work independently and cross departmentally, managing many concurrent projects and meeting critical deadlines.
  • Experience working with institutional investors is a plus.
  • Claude and other AI use a plus
  • Some travel required
