Summary
The Materials & Inventory Specialist is responsible for managing warehouse operations, inventory control, and material flow supporting manufacturing and refurbishment activities. Receive incoming materials, issue inventory to production, manage shipments, maintain accurate inventory records, and control tools and calibrated equipment. Work closely with the supply chain and planning teams to ensure inventory levels are established and maintained in alignment with MRP-driven demand and defined minimum stock requirements.
Primary Duties
Incoming Receiving & Inspection
  • Receive incoming materials, components, and equipment from suppliers.
  • Verify shipments against purchase orders, packing slips, and delivery documentation.
  • Inspect materials for visible damage or discrepancies and coordinate with procurement or quality teams as needed.
  • Accurately record receipts in the ERP system and route materials to appropriate storage locations or staging areas.

Inventory Management & Control
  • Maintain accurate inventory records within the ERP system (e.g., SAP, Oracle, JD Edwards, Microsoft Dynamics 365 Finance & Operations).
  • Execute transactions for receipts, issues, transfers, and adjustments.
  • Ensure proper storage, labeling, and organization of inventory in the warehouse.
  • Monitor inventory levels and proactively identify variances or discrepancies.

MRP-Driven Inventory Support & Supply Chain Coordination
  • Provide technical support for sales proposals, including feasibility studies and performance guarantees.
  • Customize solutions based on customer operating conditions and requirements.
  • Prepare technical documentation, reports, and customer presentations.

Customer Engagement
  • Collaborate with supply chain and production planning teams to initiate and maintain inventory levels based on MRP requirements.
  • Support the establishment and maintenance of minimum/maximum stock levels (safety stock) for critical materials.
  • Execute replenishment actions triggered by MRP runs and minimum stock thresholds.
  • Communicate shortages, risks, or excess inventory conditions to supply chain planners and procurement.
  • Assist in ensuring materials are available to meet production schedules without overstocking or stockouts.

Picking, Kitting & Production Support
  • Pick and stage materials for production orders based on work orders and job requirements.
  • Prepare kits and deliver materials to the shop floor in alignment with production schedules.
  • Coordinate with production planners and supervisors to ensure timely material availability.
  • Support efficient material flow to minimize delays in production.

Shipping & Logistics Support
  • Prepare outbound shipments, including packaging, labeling, and documentation.
  • Coordinate domestic and international shipments with logistics providers.
  • Ensure compliance with shipping requirements and documentation standards.
  • Track shipments and resolve delivery issues as needed.

Warehouse Operations
  • Maintain a clean, organized, and safe warehouse environment.
  • Follow standard operating procedures for material handling and storage.
  • Operate warehouse equipment such as forklifts and pallet jacks in a safe and responsible manner.
  • Ensure proper segregation and placement of materials based on type, condition, and handling requirements.
  • Support continuous improvement initiatives in warehouse layout and workflow.

Safe Handling & Storage of Materials
  • Ensure all materials are handled, stored, and transported in accordance with safety guidelines and company procedures.
  • Use appropriate equipment and techniques to prevent damage to materials, equipment, and personnel.
  • Follow guidelines for hazardous or sensitive materials, including proper labeling, containment, and storage conditions.
  • Adhere to all workplace safety regulations and participate in safety training and audits.

Forklift Operation & Certification
  • Operate forklifts and other material handling equipment safely and efficiently.
  • Maintain valid forklift certification and comply with all operational safety standards.
  • Conduct pre-operation equipment inspections and report any issues.
  • Follow load limits, stability requirements, and safe driving practices at all times.

Cycle Counting & Inventory Accuracy
  • Perform regular cycle counts and physical inventory audits.
  • Investigate and reconcile inventory discrepancies.
  • Maintain high levels of inventory accuracy through consistent counting and reporting practices.
  • Support annual physical inventory processes.

Tool Control & Calibration Tracking
  • Manage issuance, return, and tracking of tools and calibrated equipment.
  • Maintain records of tool usage and ensure tools are properly accounted for at all times.
  • Track calibration schedules and ensure tools are calibrated according to required intervals.
  • Coordinate with calibration vendors or internal quality teams to ensure compliance.
  • Remove non-compliant or out-of-calibration tools from service.

ERP System Utilization
  • Execute all inventory and warehouse transactions within ERP systems.
  • Maintain accurate and timely data entry for inventory movements, tool tracking, and material status.
  • Generate reports and support audits using ERP data.
  • Ensure data integrity across warehouse and inventory records.

Cross-Functional Coordination
  • Collaborate with supply chain, procurement, production planning, quality, and operations teams to support material availability and flow.
  • Communicate inventory status, shortages, and risks to stakeholders.
  • Support production and project teams with timely material delivery and status updates.

Working Relationship
This Materials and Inventory Specialist reports to the Warehouse Manager/Supply Chain Manager. Does not have any direct reports.
Compensation
The initial annual compensation will range from $28.17 to $32.40
Job Qualifications:
  • Education: High School diploma or equivalent.

  • Preferred Education: Associate degree in supply chain, logistics or related field.

  • Years of Experience:
    • Four years of experience in warehouse operations, inventory control, or materials management.
    • Experience performing cycle counts and inventory reconciliation.
    • Familiarity with MRP-driven environments and inventory replenishment concepts.
    • Experience operating material handling equipment.
    • Understanding of supply chain planning, including minimum/maximum stock strategies.

  • Preferred Experience: Experience in manufacturing, power generation, or industrial service environments.

  • Licenses/Certification: Valid forklift certification

  • Software/Equipment Knowledge:
    • ERP Systems: SAP, Oracle, JD Edwards, Microsoft Dynamics 365 Finance & Operations
    • Microsoft Excel
    • Warehouse management systems and barcoding tools

Physical Requirements and Working Conditions
Lift up to 40 lbs., stand, walk for extended periods of time, must be able to bend, stoop, and climb to reach materials (must be able to climb a step ladder at approximately three feet in height and work in loud environment, move fingers to operate standard office equipment and keyboards. Must be able to perform extensive standing, stock assigned supplies and materials, and to wear personal protective equipment if necessary.
Fit for Duty
All employees will participate in the Fitness for Duty Program. This program includes a post-offer physical examination and drug screening and post-employment random drug screening. There are extensive smoking restrictions in and around the facility.
