Job Description

The Dispatch & Inventory Specialist plays a key role in delivering a seamless experience for our customers by anchoring our hardware fulfilment pipeline. You will be responsible for provisioning and setting up telematics devices according to manufacturer specifications and unique customer requirements, ensuring order dispatch SLAs are met efficiently and effectively.

Key Responsibilities:

Fulfilment & SLA Management

  • Device Provisioning: Set up and configure telematics devices according to specific customer and manufacturer requirements prior to shipment.
  • Account & Device Setup: Create new customer accounts within the system (for onboarding clients) and assign/link specific hardware devices to those accounts prior to shipping, utilizing internal platform administration tools to manage account configurations.
  • SLA Execution: Manage day-to-day requirements across multiple operational platforms to ensure order dispatch SLAs are consistently met.
  • System Tracking: Maintain accurate and timely updates in CRM and business systems to ensure smooth team handovers, error logging, and clear reporting.

Inventory & Stock Control

  • Stock Maintenance: Ensure accurate, real-time recording of all physical stock movements and reconcile physical inventory data with internal storage systems.
  • Consumables Coordination: Maintain proactive, timely communication with stock control for ordering inventory and dispatch consumables.
  • Auditing: Carry out a comprehensive physical Stock Take at the end of each month in conjunction with the centralized Inventory team.

Returns Handling & Operational Support

  • RMA Processing: Efficiently process returned devices on the system and segregate returned stock effectively.
  • Hardware Testing: Test returned devices in strict alignment with the Device Management Team (DMT) workflows and quality assurance processes.
  • Query Resolution: Handle and resolve day-to-day inquiries, complaints, and logistics discrepancies related to shipments.

Collaboration & Team Development

  • Cross-Functional Liaison: Collaborate closely with all operational and warehouse departments to ensure efficient, safe handling and shipping policies are adhered to.
  • Training Delivery: Develop and deliver onboarding and training sessions for new employees regarding dispatch workflows as required.
Qualifications

Experience & Technical Skills:

  • Experience: Experience in Customer Operations, Logistics, or Warehouse Fulfilment environments preferred, but not essential.
  • Systems Literacy: Strong computer skills, including the Microsoft Office Suite. Hands-on experience with CRM or ERP platforms (Salesforce and/or NetSuite experience is a major plus).
  • Process Oriented: Strict adherence to warehousing, handling, and shipping safety policies.
