Job description

The UVA Bookstore is seeking an Inventory Management/Warehouse Associate. The selected candidate will be responsible for managing inventory levels, organizing stock, and ensuring accurate record-keeping to support efficient warehouse operations. This role involves coordinating deliveries, pick-ups, ensuring the timely put away of materials, and requires a proactive individual who works independently, oversees other staff and can handle physical tasks, maintain a safe working environment, and contribute to the overall efficiency and safety of multi-site warehouses.
Key Responsibilities:
  • Receive, inspect, and record incoming stock and materials.
  • Organize and maintain inventory storage areas to ensure optimal space utilization, easy access to items, and timely transfer of inventory to appropriate destinations.
  • Conduct regular inventory audits and cycle counts to maintain accurate inventory levels.
  • Update inventory records in the management system, ensuring data accuracy and integrity.
  • Prepare and process outgoing shipments, ensuring that orders are complete and correct.
  • Operate warehouse equipment, including forklifts, pallet jacks, and hand trucks, safely and efficiently.
  • Assist with the packing and labeling of products for shipment, adhering to company guidelines and safety standards.
  • Collaborate with other team members and departments to resolve inventory discrepancies and improve processes.
  • Maintain a clean and safe working environment, adhering to safety regulations and best practices.
  • Provide support for inventory-related projects and initiatives as needed.
  • Communicate effectively with supervisors, team members, and other departments to ensure smooth workflow.
  • Prepare and issue all purchase requisitions and purchase orders necessary to support operations. Complete receiving of packing slips in billing system.
  • Coordinate storage contracts, prepare periodic analysis of stock utilization trends, expenses, and provide billing information.
  • Perform full range of supervisory functions which include developing work standards, initiating policies and procedures, conducting employee performance evaluations and performance management, interviewing, hiring, and training.
  • Ensure fixed asset records remain accurate by managing asset tagging, inventory updates, and coordinating proper disposal in compliance with University policies.
  • Perform special projects, tasks, cross-training, and other duties as assigned.

Minimum Requirements:
  • High school diploma or equivalent required; additional education or certification in logistics, supply chain management, or related field is a plus.
  • Minimum of 3 years of inventory experience in inventory management, warehouse operations, or a similar role.
  • One year as a custodial team leader.
  • May need a passing score on test (written and performance) in order to comply with OSHA code 1910.178(a) and operate a powered industrial truck.
  • Must have a valid driver's license, at least 2 years driving experience, and if required, appropriate license certification for the type of vehicle being operated. Driving record must be clear of any moving violations.

Preferred Qualifications:
  • Knowledge of safety regulations and practices in a warehouse setting.
  • Inventory management software and basic computer applications including Microsoft Office Suite.
  • Valid forklift certification.

  • Ability to operate warehouse equipment and machinery safely.
  • Excellent attention to detail and strong organizational skills.
  • Ability to work independently and as part of a team while managing multiple projects simultaneously.
  • Good communication and interpersonal skills.
  • Demonstrate a strong customer focus while ensuring a positive experience throughout the process.

Work Environment:
  • Fast-paced warehouse facility with exposure to noise and moving mechanical parts.
  • Shift work may be required, including evenings, weekends, and holidays.
  • Some facilities are not air-conditioned, and employees will be exposed to varying temperatures.

Physical Demands:
  • Must be able to remain stationary and perform repetitive tasks for extended periods, with occasional travel to meetings and programs. Must be able to move materials and equipment up to 50 lbs. from various heights. Requires manual dexterity and coordination to perform tasks.
