Job description

This role is primarily focused on financial management (approximately 75%) with additional administrative, human resources, and customer-facing responsibilities (25%). The ideal candidate is organized, proactive, and comfortable working in a fast-paced small business environment.

Key Responsibilities

Financial Duties (75%)

  • Manage day-to-day accounting operations using QuickBooks
  • Oversee accounts receivable and accounts payable, including invoicing, collections, and vendor payments
  • Prepare and maintain cash flow forecasts to support business planning
  • Submit, track, and analyze payroll reports, ensuring accuracy and alignment with budgets
  • Generate and review job costing reports to monitor project profitability
  • Monitor and report on office vs. field labor hours
  • Assist with budgeting and financial reporting as needed
  • Maintain accurate financial records and ensure compliance with company policies

Administrative & Office Duties (25%)

  • Greet customers and visitors in a professional and friendly manner
  • Answer and direct phone calls
  • Provide administrative support to the team
  • Assist with scheduling, filing, and office organization
  • Support coordination between office staff, Project Manager, and Project
  • Coordinator
  • Experience writing SOPs
  • Human resources and onboarding of new hires
  • Some marketing and advertising are helpful
  • Ensure compliance with the SOM and Federal Government.

Qualifications

  • Experience with QuickBooks Online (required)
  • Intuit Bookkeeping Certification (required)
  • Intuit QuickBooks Certification Level 1 (required)
  • Strong understanding of accounts receivable, accounts payable, and basic accounting principles
  • Experience with cash flow management and job costing preferred
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Proficiency with the use of Google Workspace (Drive, Gemini, Doc, Sheets)
  • Excellent organizational and time management skills
  • Strong communication, critical thinking skills, and customer service skills
  • Ability to multitask and adapt in a small business environment

Preferred Experience, but not required

  • Previous experience in the construction or home improvement industry

Work Environment

  • Primarily office-based role with occasional interaction with field staff
  • Collaborative, small-team environment
