Job Summary
The University of St. Thomas is hiring a Graduate Assistant Program Coordinator to support the operations of its NSF GRANTED-funded Research Administration Internship Program.
The Graduate Assistant Program Coordinator will help support a cohort of approximately 8-10 undergraduate interns placed in offices and units that contribute to research support at St. Thomas. Intern placements may include areas such as sponsored projects, post-award administration, research compliance, institutional review board activities, research development, grants accounting, corporate and foundation relations, libraries, and related functions.
The successful candidate will help create a coherent learning experience across these placements. The position offers an opportunity to gain exposure to multiple areas of research administration and higher education administration, while helping undergraduates connect practical office responsibilities with professional development and career exploration.
Responsibilities
The Graduate Assistant Program Coordinator will:
- Coordinate a weekly cohort meeting for undergraduate interns
- Help organize and facilitate training activities, discussions, guest speakers, and applied learning exercises
- Select, adapt, and organize training materials related to research administration and higher education
- Communicate regularly with undergraduate interns and their placement supervisors
- Help interns connect office-based work with broader learning goals and career pathways
- Track completion of training modules, assignments, and program milestones
- Maintain simple program records, calendars, and communication materials
- Support interns in completing end-of-semester deliverables, such as reflections, case studies, process maps, posters, presentations, or other applied projects
- Work closely with program leadership to refine the structure and assessment of the internship program
QUALIFICATIONS

- Comfortable facilitating small-group discussions
- Experience working with undergraduate students, coordinating programs or events, maintaining project records, or supporting training activities is helpful
- Prior experience in research administration is welcome but not required
Training and guidance in research administration will be provided.

To be eligible for student employment, St. Thomas students must be degree seeking at the undergraduate, graduate and doctoral levels.
