Job description

The Operations Support Specialist plays a vital role in ensuring the efficiency and success of daily operations at Addison Group. This position provides comprehensive administrative and operational support, overseeing critical tasks such as candidate onboarding, compliance, and office coordination. By managing time-sensitive requests and maintaining accurate documentation, the Operations Support Specialist enables the team to operate effectively. The ideal candidate is detail-oriented, organized, and proactive, with the ability to prioritize responsibilities in a fast-paced environment to ensure seamless support across all functions.


Responsibilities:

  • Oversee all aspects of the candidate onboarding and compliance process, including initiation, candidate follow-up, and tracking, in compliance with HR policies
  • Verify and complete pre-employment screening and Form I-9s, when applicable
  • Maintain all confidential information for candidates, including pre-employment screening and Form I-9 documentation
  • May assist with the candidate timecard process, including reporting, contacting candidates, and notifying recruiters
  • Publish and maintain jobs on approved job boards
  • Serve as front desk receptionist and ensure calls are answered and office visitors are greeted courteously and in a timely manner
  • Assist with completing unemployment claims
  • Assist with ad hoc projects, as needed
  • Serve as back-up for local office coverage needs, as needed
  • Assist with maintaining an orderly office environment
  • Assist with internal culture projects in partnership with the local Managers, as needed
  • Regularly meet with Business Support Manager for any new policies, updates, or changes to any internal process


Knowledge, Skills, Education

  • Four-year degree or equivalent
  • Professional oral and written communication skills
  • Proficient in Microsoft 365
  • Excellent customer service skills
  • Organized and detail-oriented
