Job description

The University of Virginia Department of Mathematics is seeking a reliable and professional Lead Administrative Assistant to provide front-office, administrative, and supervisory support. This position serves as a key point of contact for students, faculty, staff, and visitors. The Lead Administrative Assistant will help ensure the smooth day-to-day operation of the department through a variety of administrative and customer service responsibilities.

Responsibilities

  • Serve as the first point of contact for visitors.
  • Answer and direct phone calls, emails, and in-person inquiries.
  • Assist with key checkout and tracking procedures.
  • Provide visitor parking information and permits when needed.
  • Support faculty, staff, students, and visitors with administrative requests.
  • Maintain office records, files, and departmental resources.
  • Assist with departmental events, seminars, and special projects.
  • Perform other administrative and office support duties as assigned.
  • Assist staff with supervisory responsibilities.

Qualifications

  • Full-time UVA undergraduate student with Federal Work-Study eligibility.
  • Strong written and verbal communication skills.
  • Excellent customer service and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities.
  • Basic proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Professionalism, reliability, and discretion.

In addition to the job duties and responsibilities outlined above, this position will participate in a structured internship experience through the Internship Placement Program (IPP). If selected, interns must enroll in either UNST 3910 (1 cr.) or UNST 3920 (1 cr.). The courses are offered 9+ times during the fall, offering plenty of options to choose from. If the course does not work for your schedule, we also offer an asynchronous co-curricular workshop series through Canvas. Through this robust internship experience, students will receive dedicated career support from their supervisor and gain key skills and competencies that align with future job interests. The FWS Internship will look great on your resume and provide the student with impactful stories to share in interviews. TFWS Internships are best suited for students in their 2nd - 4th years.

Hourly Rate: $18

Anticipated start and end dates: as soon as possible until around May 14, 2027.


PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
