We are looking for a Travel and Logistics Coordinator for a full-time position in McLean, VA. (Onsite).
Summary
The Travel and Logistics Coordinator manages commercial travel, lodging, and logistics for a TRMC-sponsored STEM internship program. The role requires a professional, approachable manner paired with the discipline to enforce program policies and procedures fairly and consistently.
Key Responsibilities include but are not limited to:
  • Coordinate commercial travel arrangements (airfare, lodging, ground transportation) for STEM interns and program staff, booking directly through commercial travel platforms/agencies; arrange rental cars as needed based on site location and intern schedule
  • Serve as the primary point of contact for intern travel questions, itinerary changes, and logistical issues, resolving disruptions (cancellations, delays, medical issues) in real time
  • Process travel authorizations, expense reports, and reimbursements; track expenditures against the program travel budget
  • Coordinate housing/lodging arrangements at program sites, including move-in/move-out logistics
  • Maintain travel and logistics tracking systems to monitor intern arrivals, departures, and status
  • Liaise with program managers, host site POCs, and vendors (hotels, rental car companies, travel agencies) to ensure smooth execution
  • Support intern onboarding - recruitment/selection under Program Manager direction, ATS recordkeeping, new-hire paperwork, orientation scheduling, and badge/access and first-day logistics
  • Report time tracking accurately and timely to support invoicing
  • Help coordinate and document intern performance, conduct, or accommodation issues, escalating to HR leadership and Program Managers as appropriate
  • Assist with offboarding logistics at close of internship (final paperwork, equipment/badge return, exit coordination) and maintain accurate program records to support reporting requirements and contract deliverables

Required Qualifications
• 2+ years of experience in customer service
• Active Secret clearance or ability to obtain/transfer one (US citizenship required)
• Professional demeanor with strong interpersonal skills; able to communicate with warmth and empathy while maintaining firm adherence to program policies and procedures
• Excellent written and verbal communication skills; comfortable interfacing with interns, government stakeholders, and vendors
• Ability and eagerness to adapt to changing environments and learn new skills.
• Ability to maintain confidentiality in handling sensitive information
• Strong organizational skills with the ability to manage multiple travelers and moving logistics simultaneously
• Proficiency in Microsoft Office, particularly Excel
Preferred Qualifications
• Some accounting experience/knowledge
• Experience with commercial travel management platforms
• Prior experience supporting student, intern, or early-career talent programs
• Able to adapt to a fast-paced, detail-driven role supporting a high-visibility government STEM program
• Some travel may be required (10% or less)
