ABOUT THIS JOB:
The Project Coordinator Intern will support internal projects by helping keep tasks organized, up to date, and moving forward. Working closely with the IT Project Manager and project teams, you will maintain project documentation, update project tracking systems, coordinate communication between stakeholders, and help ensure tasks are completed on schedule. This temporary internship runs through the end of October and provides hands-on experience with project coordination, project management tools, and cross-functional collaboration. We're looking for someone who is dependable, eager to learn, and able to stay organized while following established processes.
RESPONSIBILITIES:
  • Maintaining and updating project statuses in Asana to accurately reflect current progress.
  • Collecting regular project updates from developers and stakeholders and documenting them within project tracking systems.
  • Assisting with the preparation and distribution of weekly project status reports.
  • Coordinating project meetings, including scheduling, preparing agendas, taking meeting notes, and documenting action items.
  • Translating approved project scope into organized development tasks within Azure DevOps under the guidance of project leadership.
  • Tracking open action items, deadlines, and follow-up tasks to help keep projects on schedule.
  • Identifying potential blockers, risks, or delays and communicating them to the IT Project Coordinator.
  • Maintaining project documentation, change logs, and project records to ensure visibility and organization.
  • Supporting sprint planning and execution by helping ensure tasks remain current and accurately tracked.
  • Collaborating with cross-functional teams to support successful project execution.
  • Any other tasks as assigned

Requirements
Must have proper documentation for employment in the United States
Must pass a pre-employment drug screen
High School diploma or equivalent preferred
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  • Currently pursuing or recently completed a degree in Information Technology, Information Systems, Business, Computer Science, Project Management, or a related field.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail with the ability to manage multiple tasks simultaneously.
  • Ability to prioritize work and follow established processes.
  • Comfortable learning new software and technologies.
  • Basic computer proficiency, including Microsoft Office or Google Workspace.
  • Ability to work collaboratively with cross-functional teams.
  • Self-motivated with a willingness to ask questions and learn.
  • Ability to sit and work at a computer for extended periods throughout the workday.

SPECIAL CONSIDERATION FOR:
  • Familiarity with Asana, Jira, Azure DevOps, or similar platforms
  • Exposure to Agile or Scrum methodologies

THIS POSITION REPORTS TO:
  • IT Project Manager

SCHEDULE:
  • Monday to Friday, 9:00am-5:00pm (Full-time)

WORK SPACE INFO:
This job operates in a warehouse environment which requires standing, moving, lifting, and operating machinery and computers. Personal Protection Equipment may be required. Safety training is mandatory and employees must be able to pass basic safety requirements.
TRAINING:
Training for this position will be completed by the department manager. Training will consist of education on key processes, preparation and staging requirements by customer, location of tools, supplies and materials. You will be trained on how to use the order interface, how to properly read orders and where to look for notes. Additional training will be completed as processes evolve or as required.
SAFETY:
