Accounting Associate

About the Role
The Accounting Associate supports the day-to-day financial operations of the organization by ensuring accurate processing of accounts payable, accounts receivable, and financial records. This role plays a key part in maintaining strong financial controls, supporting reporting requirements, and ensuring compliance with organizational policies and audit standards.
Working closely with the Finance team and internal departments, the Accounting Associate contributes to efficient financial processes, timely reporting, and overall organizational accountability in a fast-paced, detail-oriented environment.
This is a full-time temporary position with the potential to transition to a permanent role for the right candidate, based on performance and organizational needs.
What Youll Do
- Process full-cycle accounts payable, including reviewing, verifying, coding, and entering invoices in accordance with organizational policies and internal controls.
- Prepare and support weekly and ad hoc payment runs (EFT, cheque, wire), ensuring timely, accurate payments and proper authorization procedures.
- Reconcile vendor statements regularly, investigate discrepancies, and resolve invoice, payment, or documentation issues in a professional and timely manner.
- Support month-end and year-end processes by preparing reconciliations, accruals, aging reports, and working papers, ensuring accuracy and audit readiness.
- Generate and issue customer invoices, apply payments, track outstanding balances, and maintain accurate accounts receivable records.
- Monitor overdue accounts and support collection efforts through professional follow-up and internal coordination.
- Respond to inquiries from internal departments regarding invoice coding, expense allocations, payment timelines, and financial procedures.
- Communicate directly with vendors and service providers to clarify billing details, resolve disputes, and maintain strong working relationships.
- Maintain organized and complete financial documentation to support audit requirements, reporting standards, and compliance with policies and funder guidelines.
- Identify process improvements within AP/AR workflows and contribute to strengthening financial controls and operational efficiency.

What You Bring
We recognize that strong accounting professionals develop their expertise through a combination of education, experience, and continuous learning.
- A diploma, or degree in Accounting, Finance, Bookkeeping, or a related field.
- Minimum two (2) years of experience in accounts payable, accounts receivable, or full-cycle accounting support.
- Demonstrated experience processing high-volume transactions with a high degree of accuracy.
- Strong working knowledge of accounting principles, reconciliations, and financial controls.
- Experience supporting month-end processes, accruals, and financial reporting.
- Proficiency in accounting software (e.g., Sage or similar systems).
- Intermediate to advanced proficiency in Microsoft Excel, including formulas, reconciliations, and data review.
- Strong analytical thinking and the ability to identify trends, discrepancies, and process improvements.
- Experience working in a non-profit or multi-program environment (considered an asset).
