Job description

The OCC Specialist is responsible for managing all aspects of crewmember travel, ensuring efficient, cost-effective, and compliant travel arrangements in support of flight operations. This role serves as a key liaison between crew scheduling, dispatch, and travel vendors, handling real-time travel changes driven by operational needs while maintaining a high level of service for flight crews.

RESPONSIBILITIES / DUTIES:

  • Coordinate, book, and modify all travel arrangements for flight crew members including air, hotel, rental car, and ground transportation.
  • Proactively manage travel disruptions (delays, cancellations, re-routes) to ensure minimal impact to flight operations and crew legality.
  • Monitor flight schedule changes and adjust crewmember travel accordingly in real time.
  • Communicate travel itineraries, updates, and changes clearly to crewmembers via phone and email.
  • Ensure all travel bookings align with company policies, contract requirements, and cost-control initiatives.
  • Work closely with crew scheduling and dispatch to anticipate travel needs based on operational changes.
  • Serve as the primary point of contact for travel-related issues during assigned shift, including after-hours support.
  • Assist with vendor coordination including airlines, hotels, and rental car providers to secure preferred rates and resolve service issues.
  • Support large-scale travel planning efforts such as pilot bidding periods, training events, and new hire onboarding travel.
  • Maintain accurate travel records, documentation, and reporting for auditing and tracking purposes.
  • Identify opportunities to improve travel efficiency, reduce costs, and streamline booking processes.
  • Provide backup support to crew scheduling functions as needed.
  • Maintain a professional and positive attitude while interacting with all internal and external stakeholders.
  • Other duties as assigned.

QUALIFICATIONS:

  • Associate degree preferred or equivalent work experience in aviation, travel coordination, or logistics.
  • 2 years of experience working with SAP Concur travel and expense.
  • Previous experience in travel booking, airline crew scheduling, or logistics coordination strongly preferred.
  • Knowledge of airline operations (Part 121/135) is a plus.
  • Strong ability to manage multiple travel requests and changing priorities in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with high attention to detail.
  • Ability to work independently while collaborating across multiple departments.
  • Experience with travel booking systems, GDS platforms, or corporate travel tools preferred.
  • Proficiency in Microsoft Office applications.

SPECIAL POSITION REQUIREMENTS:

  • First shift position. Some flexibility is required when operations need dictates.
  • Some travel may be required (10%).
  • Must be available for on-call rotation (every 5th or 6th weekend) to support urgent travel needs.
