Job description

The Fleet Coordinator is responsible for overseeing the day-to-day operations and maintenance of all fleet vehicles and associated equipment while ensuring compliance with company policies and State regulations. MUST have service writer or rental car experience.

RESPONSIBILITIES:

  • Ensures proper safety policies and procedures are in place and followed, including monitoring MVR records for fleet drivers.
  • Perform MVR records search using the approved background program.
  • Ensures department compliance with safety and environmental regulations.
  • Monitors expenditures; prepares and maintains various records and files; prepares reports.
  • Maintain comprehensive understanding of all DOT/DMV regulations effecting JP Thomas and vehicle operations.
  • Review fuel and maintenance transactions to ensure compliance with company policy and identify emerging trends and corrective actions.
  • Conduct vehicle inspections alongside field managers.
  • Maintain primary responsibility for scheduling and final assessment of vehicle condition.
  • Process, monitor, and communicate as appropriate registration/ titling issues with fleet team members.
  • Identify deficiencies in tools and equipment.
  • Facilitate vehicle maintenance.
  • Handle internal vehicle transfers among employees.
  • Monitor and report on vehicles through the telematics system.
  • Administer and communicate data in the company vehicle database.
  • Monitor fuel consumption via the online portal system.
  • Ensure company vehicle policy compliance.
  • Review all equipment, repair, and maintenance documentation.
  • Assist with fleet toll/parking/moving violations as needed.
  • Maintain responsibility for physical GPS install/ swap.
  • Other duties as required or assigned.

MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Passion for white-glove customer service
  • HS Diploma- Associate’s Degree preferred
  • At least 1 year of experience in a fleet program with at least 200 vehicles or related experience in an administrative support role
  • Experience in a service provider company a plus
  • Advanced computer literacy required with strong proficiency in Excel
  • Strong internal and external customer service-oriented
