Summary:
The International Medical Graduate (IMG) Integration & Experience Coordinator leads Akron Children's Hospital's non-clinical integration program for International Medical Graduates, international fellows, and their eligible family members.
Serving as the primary resource for IMG transition and integration, this role supports physicians and families throughout the full training journey, from recruitment and pre-arrival planning through onboarding, transitions, and program completion. The coordinator works across departments and with external partners to help physicians navigate organizational processes, immigration-related administrative requirements, and community integration.
This position proactively identifies and removes barriers to physician success, engagement, retention, and overall experience. The coordinator maintains current knowledge of immigration-related administrative processes affecting international physicians, monitors regulatory and policy changes, coordinates institutional responses within established organizational guidelines, and translates complex requirements into practical guidance while maintaining appropriate legal boundaries. The position also supports organizational culture enhancement by helping identify and address barriers to collaboration, communication, and the successful integration of physicians and staff across diverse backgrounds.
Using data, participant feedback, and institutional trends, the coordinator recommends process improvements that strengthen organizational readiness, improve the physician and family experience, and support Akron Children's commitment to becoming a destination institution for international medical education.
Responsibilities:
1. Develop, coordinate, and continuously improve Akron Children's IMG Integration and Experience Program, providing structured non-clinical support from pre-arrival through completion of residency or fellowship.
2. Manage a portfolio of IMG physicians and international fellows throughout the training lifecycle by maintaining regular connections, assessing and tracking transition needs, monitoring key milestones and emerging barriers, documenting follow-up, and coordinating appropriate resources and cross-functional support.
3. Responsible for managing assigned physician visa sponsorship processes in partnership with Medical Education, including applications, documentation, arrival requirements, renewals, trainee communication, and year-round tracking. Prioritizes time-sensitive issues and coordinates escalation to authorized departments for legal, eligibility, trainee-status, and compliance determinations.
4. Maintain current working knowledge of immigration-related policies, administrative requirements, and processes affecting International Medical Graduates. Monitor relevant changes and coordinate approved updates to institutional workflows, timelines, resources, and communications.
5. Identify, investigate, and coordinate resolution of administrative, organizational, and community barriers affecting IMG physicians and their families by collaborating with internal departments, external agencies, and community partners.
6. Coordinate resources related to Social Security administration, driver's licensing, housing, banking, transportation, payroll, benefits, healthcare access, education, childcare, and other transition needs for physicians and eligible family members.
7. Exercise independent judgment in prioritizing complex situations, determining appropriate escalation pathways, and coordinating cross-functional solutions that support physician success and organizational effectiveness.
8. Develop and maintain partnerships with community organizations, government agencies, educational institutions, cultural organizations, and service providers to expand resources and strengthen support for IMG physicians and their families.
9. Plan and coordinate institutional onboarding, transition education, networking, cultural experiences, and community engagement opportunities that promote preparedness, belonging, cultural adjustment, and long-term integration.
10. Connect IMG physicians and their families with appropriate organizational and community resources based on identified transition needs.
11. Serve as the primary non-clinical liaison for IMG integration, coordinating communication, roles, handoffs, and services among Medical Education, Human Resources, Legal, Payroll, Benefits, Information Technology, Graduate Medical Education leadership, residency coordinators, and other organizational partners.
12. Provide consultation and education to residency coordinators, department leaders, and organizational partners regarding IMG integration processes, available resources, role boundaries, and organizational practices that support a consistent trainee experience.
13. Develop and maintain standardized workflows, program resources, tracking systems, and process documentation that support consistent IMG integration services.
14. Collection and analyze program data, participant feedback, and recurring barriers; prepare reports and recommendations for leadership; and identify improvements to organizational workflows, communications, resources, and support services.
15. Perform other duties as required.

Technical Expertise
1. Demonstrated ability to independently coordinate a complex portfolio of International Medical Graduates and international fellows, balancing competing priorities, time-sensitive deadlines, and interdependent processes across the physician-training lifecycle.
2. Working knowledge of immigration-related administrative processes affecting international physicians and trainees, including authorized sponsorship pathways, Intealth, ECFMG, SEVIS-related processes, documentation requirements, renewals, extensions, and institutional dependencies. Ability to monitor evolving requirements and communicate operational impacts while maintaining appropriate legal boundaries.
3. Strong understanding of graduate medical education, physician onboarding, healthcare operations, and organizational systems, with the ability to navigate complex structures, clarify responsibilities, and coordinate cross-functional solutions.
4. Demonstrated systems-thinking, consultation, and problem-solving skills, including the ability to identify administrative and systemic barriers, analyze complex situations, exercise sound judgment, influence outcomes without direct authority, and coordinate timely responses involving internal and external stakeholders.
5. Experience developing program infrastructure and evaluating effectiveness, including standardized workflows, resource materials, tracking systems, process documentation, data analysis, trend identification, and preparation of reports and recommendations for leadership.
6. Excellent written, verbal, and interpersonal communication skills, with the ability to translate complex administrative processes into practical guidance, build trusting relationships across diverse cultural and professional groups, maintain confidentiality,
7. Proficiency in MS Office [Outlook, Excel, Word] or similar software is required including relevant databases or case-management systems to support program administration.
Education and Experience
1. Education: Bachelor's degree in Healthcare Administration, Public Health, Human Services, Social Work, or a related field is required. Master's degree preferred.
2. Certification: Completion of an employer-approved professional certification or certificate program related to immigration administration, international education, intercultural competence (IDI), project management, case management, or another job-related specialty is required within twelve (12) months of hire. Ongoing professional development related to immigration processes, international medical education, and physician integration are expected.
3. Years of experience: Minimum of four (4) years of relevant experience in healthcare administration, graduate medical education, physician or employee onboarding, international education, immigration administration, or a related field required. Experience supporting international physicians, healthcare professionals, scholars, students, or other globally mobile populations is strongly preferred.
