Job Summary:
The Maintenance Planner / Scheduler & Parts Coordinator is responsible for planning and scheduling maintenance activities, maintaining accurate maintenance records, managing spare parts inventory, and coordinating the procurement of maintenance materials and services. This position works closely with maintenance technicians, production personnel, vendors, and management to ensure maintenance work is properly planned, scheduled, and supplied. The role supports equipment reliability, preventive maintenance completion, and operational efficiency while maintaining company safety standards.
Responsibilities:
  • Plan and schedule preventive, predictive, and corrective maintenance activities.
  • Create, manage, and prioritize maintenance work orders.
  • Coordinate maintenance schedules with production to minimize downtime.
  • Monitor completion of preventive maintenance tasks and maintain compliance tracking.
  • Maintain maintenance records, equipment histories, and documentation.
  • Develop and update equipment bills of materials and spare parts lists.
  • Manage maintenance spare parts inventory levels.
  • Order maintenance parts, supplies, and services from approved vendors.
  • Obtain quotations and coordinate purchasing activities for maintenance requirements.
  • Track purchase orders and delivery schedules to ensure required materials are available.
  • Receive and verify maintenance-related shipments and inventory transactions.
  • Conduct periodic inventory cycle counts and inventory audits.
  • Identify critical spare parts and recommend stocking levels.
  • Maintain vendor relationships and support cost-reduction efforts.
  • Generate maintenance reports and key performance indicators.
  • Support continuous improvement efforts related to equipment reliability and maintenance effectiveness.
  • Ensure maintenance planning activities comply with company EHS standards and policies.

Required Qualifications:
  • Minimum 5 years of experience in industrial maintenance, maintenance planning, inventory control, or related field.
  • Strong organizational and planning skills.
  • Working knowledge of industrial maintenance practices.
  • Ability to interpret equipment manuals, parts catalogs, and technical drawings.
  • Inventory management and materials control knowledge.
  • Strong communication and coordination skills.
  • Proficient in Microsoft Office, especially Excel.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Vendor management and purchasing coordination experience.
  • Attention to detail and accuracy.
  • Problem solving, accountability, time management, and continuous improvement mindset.
  • High school diploma or GED

Preferred Qualifications:
  • Manufacturing or machine shop experience preferred.
  • Experience using maintenance management software, work order systems, or inventory systems preferred.
  • Experience obtaining quotes, ordering industrial maintenance parts, tracking purchase orders, and coordinating with vendors preferred.
  • Associate degree or technical training in industrial maintenance, supply chain, business, or a related field preferred.
