Project Associate International Programs

The Opportunity:
Tetra Tech is adding a Project Associate, International Programs to our Global Services Design Team, based in our Marlborough, Massachusetts Office. This is an early-in-career position that provides an excellent opportunity to break into the world of international consulting and project management, with a focus on the design, development, and implementation of infrastructure programs.

At Tetra Tech, our Global Services Design Team provides comprehensive architecture and engineering solutions for U.S. Government clients and other multilateral donors worldwide in both the military/defense and international development sectors. We specialize in infrastructure program planning and due diligence, facility and utility planning, design, and construction services throughout the project lifecycle. Key clients include the U.S. Department of Defense, U.S. Department of State, and the Millennium Challenge Corporation, among others. Our projects range from full design and construction support for military base expansions and improvements to mission support facilities, to innovative solutions for the development of roadways, water and wastewater systems, and power and communications networks in developing countries.

The Project Support Group is involved across all our projects and clients, working closely with Project Management Teams to provide a broad range of administrative, logistical, financial, management, and technical and non-technical support as needed, to keep projects running efficiently and effectively.

Essential Job Functions:
The following duties are considered essential to the role. Reasonable accommodation may be made to enable individuals with disabilities to perform these essential functions:

  • Support implementation of projects, including:
    • Assisting in project startup activities including:
      • Developing project workplans, Health-Safety-Security Plans, and Document Quality Control Plans
      • Supporting subcontract initiation
      • Preparing kickoff meeting materials
      • Setting up document management systems.
    • Supporting Project Management Teams as requested throughout project duration with tasks including:
      • Preparing project reports, letters, and deliverables
      • Assembling design deliverables (Design Analyses, Specifications, Drawings)
      • Developing and maintaining project templates
      • Maintaining project documentation organization and record keeping
      • Performing quality control reviews and implementing document and writing standards
      • Assisting in Technical Specification processing (in Specs-Intact)
      • Preparing presentation materials for client meetings
      • Attending client meetings and capturing meeting notes and action items, preparing RFIs
      • Supporting travel coordination with reserving conference rooms, hotels, flights, and ground transportation, researching visa requirements, and initiating medical clearance processes
      • Supporting Project Management budget monitoring and financial tracking and report development
      • Coordinating with internal Tetra Tech GLS groups (finance, contracts, human resources, engineering and technical).
    • Assisting in Project Closeout at the Project Manager’s request including:
      • Drafting closeout reports and documentation
      • Supporting subcontract closeout coordination
      • Performing final financial review
    • Support project capture planning and cost proposals, including:
      • Compiling sections of technical and cost proposals at the direction of the Program/Proposal Manager
      • Preparing internal Tetra Tech proposal sections, as directed by the proposal manager
      • Assisting in obtaining Other Direct Costs (ODC) for project price proposals, such as travel costs (flights, hotels, per diem, vehicle rentals, etc.)
      • Researching rules and regulations of working in and traveling to various countries.
    • Work under direct supervision and follow standard procedures to accomplish tasks
    • Engage in collaborative problem-solving with diverse teams
    • Pursue continuous professional development
    • Follow company and regulatory health and safety protocols at all times and report any incidents or concerns.

Required Qualifications:
We are seeking motivated individuals who thrive in collaborative environments. Ideal candidates will possess:

  • Educational Background: Bachelor’s degree in Business Management, International Studies or related field from accredited college or university
  • Experience: Two years as a Project Assistant or working in a project-based or consulting-based environment, or equivalent role
  • Time Management: Ability to manage diverse responsibilities and competing priorities to ensure project deadlines are met
  • Software Proficiency: Proficiency with Microsoft Office 365, including Word, Excel, Outlook, and Teams with the ability to create, edit, and manage documents and spreadsheets
  • ommunication Skills: Strong verbal and written communication skills
  • Team Collaboration: Enthusiasm for contributing to team projects. Commitment to being a reliable resource
  • US Citizen/Background Check: Due to the clients we serve, this position requires US Citizenship or Permanent Residence Card. Must be able to pass background screening including criminal history, credit check etc.

Preferred Qualifications:

  • International Projects: Experience working on projects with multinational teams or projects based in another country. Intercultural competence and experience working across multiple time zones
  • Software: Experience in using or developing Microsoft templates
  • Travel: Experience with booking domestic and international travel
  • Travel Flexibility: Willingness to participate in short-term international travel assignments as needed.

Physical Requirements:

  • Stand or Sit. Must be able to remain in a stationary position a minimum of 50% of the time
  • Use hands/fingers to handle or feel. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Office Environment. Majority of work is done in office environment
  • Occasional Travel. While traveling may have limited exposure to extreme heat/cold Since travel is likely to be international in nature employees will need to sit for extended period of time on airplane. The locations where we work can be in a developing country context, thus employees must always conduct themselves in a safe and responsible manner if/when traveling for a work assignment.

Additional Information:

  • Employment Type. The position is full time regular, 40 hours per week. Additional paid overtime is available with manager approval
  • Work Schedule. Standard office hours are Monday thru Friday from 8:30 am to 5:00 pm including an unpaid thirty minute lunch break
  • Work Location. The work location is Marlborough, Massachusetts
  • Hybrid. This position has the option to work from home two days per week in accordance with Tetra Tech's Remote Work Policy
  • Salary and Benefits. The hourly rate for this position is $24 to $29.
