Gateway Toyota is looking for an Internal Service Advisor.

We are looking for a detail-oriented, organized, and team-focused Internal Service Advisor to work closely with our New and Used Vehicle Sales Departments.

The Internal Service Advisor is responsible for coordinating the service and repair needs of vehicles being traded, purchased, reconditioned, and prepared for sale or delivery. This position plays an important role in keeping vehicles moving efficiently through the Service Department while ensuring Sales has clear and timely communication about vehicle status, required repairs, costs, and completion timelines.


Key Responsibilities
  • Act as the primary point of contact between the Service Department and New & Used Vehicle Sales Departments.
  • Coordinate inspections and service requirements for trade-in and purchased vehicles.
  • Review technician findings and determine required repairs and maintenance.
  • Prepare and maintain accurate internal repair orders.
  • Communicate repair requirements, estimates, and completion timelines to Sales.
  • Obtain appropriate authorization for additional work.
  • Coordinate with technicians, parts, detail, and Sales to keep vehicles moving through the reconditioning process.
  • Monitor vehicles throughout the repair process and follow up on outstanding work.
  • Prioritize work based on vehicle delivery dates and Sales Department requirements.
  • Ensure vehicles are properly serviced and ready for sale or customer delivery.
  • Track and communicate vehicle status from initial inspection through completion.
  • Assist with warranty or manufacturer-related repairs when applicable.
  • Ensure all required documentation is complete and accurate.
  • Identify additional maintenance or repairs that should be addressed before a vehicle is sold.
  • Maintain clear communication regarding delays, parts availability, unexpected repairs, and changes to estimated completion times.
  • Help maintain an efficient workflow between Sales and Service.
  • Provide exceptional internal customer service to Sales while maintaining a professional and positive working relationship with the Service team.

  • Able to prioritize urgent work and manage changing deadlines.
  • Comfortable using dealership computer systems and repair order software.
  • Reliable, professional, and accountable.
  • A strong team player who understands the importance of keeping vehicles moving through the dealership efficiently.

Previous Service Advisor, Automotive Technician, Parts, or dealership experience is an asset.
