As our company continues to grow, weโ€™re looking for a detail-oriented Customer Billing Administratorย to support billing operations across our branch network. This role plays an important part in helping our teams close out completed work accurately, invoice customers promptly, and ensure payments and billing records are processed correctly across multiple systems.

The Opportunity
As a Customer Billing Administrator,ย youโ€™ll support the billing and payment process for ACTS Fleet Maintenanceโ€™s branch operations from our corporate office. Youโ€™ll work closely with branch teams to ensure completed service work is invoiced accurately, customer payments are processed correctly, and billing is updated in fleet management and customer payment portals.
This role is ideal for someone who is highly organized, comfortable managing details, and motivated by keeping processes accurate, timely, and consistent across a growing multi-branch business.
What Youโ€™ll Do
  • Process customer payments and maintain accurate payment records
  • Email customer invoices promptly after services are completed
  • Review completed service tickets and confirm invoices are closed and processed correctly
  • Ensure billing information is entered accurately into customer and fleet management portals
  • Monitor open billing items and follow up with branches to resolve missing information or incomplete documentation
  • Verify that completed work orders are properly invoiced according to customer requirements and internal procedures
  • Support billing activity across multiple branch locations and help maintain consistency in billing processes
  • Communicate with branch personnel and internal teams regarding billing questions, invoice status, payment processing, and account documentation
  • Research and help resolve billing discrepancies, invoice issues, or processing delays
  • Maintain organized records of invoices, payment activity, and billing documentation
  • Assist with process improvements as ACTS continues to expand its branch network
