Position Summary:
We have an exciting opportunity to join our team as an Operations Manager.
This role is an operations-focused position that supports clinical practice efficiency, staff coordination, and administrative performance across multiple ambulatory locations. The person serves as a key problem-solver and liaison between clinical teams, administrative departments, leadership, and offsite locations to ensure smooth daily operations and continuity of care.
Job Responsibilities:
Clinical Operations:
  • Determines and establishes the explanation to complex calls, issues and questions not covered by specific instructions or common practice. Meets or exceeds internal standards for accuracy and timeliness in charge documentation preparation and submission.

  • Resolves all complaints and problems using independent judgment and decision making skills to ensure patient satisfaction and adherence to faculty practice standards.

  • Responsible for workflows that ensure proper continuity of care between the department's locations in Manhattan, Brooklyn, Queens, and Long Island.

  • Serve as an on-site resource to improve practice operations- assure meaningful use reporting, wait lists and EPIC work queues are maintained and serves as cross coverage for gaps and immediate on site needs.

  • Oversee the coordination, integration, communication, implementation and performance evaluation of practice operations and policies and procedures. Identify areas for improvement and develop detailed action plans as necessary. Optimize patient flow and patient access.

Staff Support:
  • Resolves employee issues and addresses procedure and performance related issues. Authorizes attendance, schedules and sick time changes. Establishes office procedures and communicates responsibilities and expected performance to staff. Receives, compiles, classifies, reconciles and consolidates data from varied sources; provides timely reports on routine data, trends and variances to appropriate parties.

  • Cross-Functional Communication:Act as the primary point of contact between departments (e.g., logistics, sales, management) to ensure all teams are aligned on dailyoperationsand project goals.

  • Bridges the gap between clinical teams, administrative departments, and external stakeholders. They streamline daily workflows, coordinate patient logistics, resolve operational bottlenecks, and ensure smooth communication between sites.

Administrative Duties:
  • Responsible for tracking operating results and working with Department Leadership on revenue enhancement strategies and develops strategies to address unfavorable performance that promote achieving desired goals and outcomes.

  • Oversee and manage any required training programs on policies and procedures to maintain standardization. Works closely with Administration, on site Coordinators and Supervisors, Epic Operations, to identify opportunities to improve front end processes.

  • Workflow Optimization:Identify workflow inefficiencies and implement solutions to boost productivity and streamline cross-departmentaloperations.

  • Issue Resolution:Troubleshoots logistical problems in real-time, such as equipment shortages, workflow issues, troubleshoot operational roadblocks, manage conflict between teams, and relay critical information back to the department to keepoperationsmoving seamlessly.

  • Stakeholder Engagement:Acts as the primary point of contact between ambulatory locations and the department.

  • Quality & Compliance:Monitors operational metrics, ensures adherence to policies, etc. for offsite locations.

  • Other duties as assigned

Minimum Qualifications:
To qualify you must have a Bachelor's degree and experience in healthcare operations required
Strong analytical skills and working knowledge of analytical tools (e.g. Excel)
Excellent written and oral communication skills;
Strong workflow analysis and business process integration skills;
Lead others for implementation of projects and organizational workflow redesign
Preferred Qualifications:
Masters degree in Business Administration, Healthcare Administration, Public Health, Nursing, or another related degree preferred;
3-5 years supervisory experience
Press Ganey experience preferred;
Patient Satisfaction experience preferred
Strong analytical background and previous experience using Microsoft Excel, Access, and Visio.
