Responsibilities

Position Summary:ย 

The Operations Intern will work alongside IndeVets' Operations team as a junior scheduling coordinator, gaining direct experience in the day-to-day scheduling workflows that sit at the heart of IndeVets' business. This intern will actively support the coordination of PSM (Personalized Shift Matching) doctor scheduling - handling requests, managing calendars, and navigating exceptions - with hands-on guidance from your experienced Operations Mentor.ย 

Essential Responsibilities:ย 

Assist with scheduling PSM doctors in coordination with the Operations teamย 

Process incoming scheduling requests and confirm placements with relevant partiesย 

Manage and maintain scheduling calendars, ensuring accuracy and up-to-date recordsย 

Identify, document, and escalate scheduling conflicts, gaps, or exceptions for resolutionย 

Learn and apply IndeVets' scheduling tools, workflows, and communication protocolsย 

Track exception patterns and flag recurring issues to the Ops teamย 

Support additional operational tasks and special projects as assigned by mentorย 

Performs other related duties as assignedย 

Education:ย 

High school diploma or equivalent requiredย ANDย 

Currently enrolled in Business, Operations Management, Healthcare Administration, or a related program (sophomore or above), OR a recent graduate within 12 monthsย 

Experience:ย 

Prior experience in scheduling, coordination, administrative, or customer-facing roles, preferredย 

Exposure to healthcare, veterinary, or staffing operations, preferredย 

Experience handling exceptions, escalations, or time-sensitive logistics, preferredย 

Knowledge & Skills:ย 

Highly organized with strong attention to detail and accuracyย 

Clear, professional communicator - comfortable coordinating with multiple partiesย 

Ability to manage competing priorities and stay calm under scheduling pressureย 

Proficient in Microsoft Office or Google Workspace, particularly calendar toolsย

College credit arrangements: IndeVets will provide all required documentation including a signed internship agreement, supervisor evaluations, and hour logs. Students should confirm requirements with their institution and notify us at the time of application.ย 

Location & Schedule Expectations:ย 

Hybrid with 2 Days Remote and 1 Day In Office (Old City, Philadelphia)ย 

24 hours per weekย
