Responsibilities
Position Summary:
The Operations Intern will work alongside IndeVets' Operations team as a junior scheduling coordinator, gaining direct experience in the day-to-day scheduling workflows that sit at the heart of IndeVets' business. This intern will actively support the coordination of PSM (Personalized Shift Matching) doctor scheduling - handling requests, managing calendars, and navigating exceptions - with hands-on guidance from your experienced Operations Mentor.
Essential Responsibilities:
Assist with scheduling PSM doctors in coordination with the Operations team
Process incoming scheduling requests and confirm placements with relevant parties
Manage and maintain scheduling calendars, ensuring accuracy and up-to-date records
Identify, document, and escalate scheduling conflicts, gaps, or exceptions for resolution
Learn and apply IndeVets' scheduling tools, workflows, and communication protocols
Track exception patterns and flag recurring issues to the Ops team
Support additional operational tasks and special projects as assigned by mentor
Performs other related duties as assigned
Education:
High school diploma or equivalent required AND
Currently enrolled in Business, Operations Management, Healthcare Administration, or a related program (sophomore or above), OR a recent graduate within 12 months
Experience:
Prior experience in scheduling, coordination, administrative, or customer-facing roles, preferred
Exposure to healthcare, veterinary, or staffing operations, preferred
Experience handling exceptions, escalations, or time-sensitive logistics, preferred
Knowledge & Skills:
Highly organized with strong attention to detail and accuracy
Clear, professional communicator - comfortable coordinating with multiple parties
Ability to manage competing priorities and stay calm under scheduling pressure
Proficient in Microsoft Office or Google Workspace, particularly calendar tools

Location & Schedule Expectations:
Hybrid with 2 Days Remote and 1 Day In Office (Old City, Philadelphia)
24 hours per week
