Intern Foundations Artist Management Jobs (NOW HIRING)

Position Overview: 
The Temporary Artist Services Coordinator reports to the Director of Artistic & Community Programs and serves in a temporary capacity as a key liaison with Northrop departments and Northrop Presents artists and management representatives. They will ensure effective planning of artist visits, including performance and engagement activities, and handle communications to ensure all logistics are managed optimally in coordination with production, education, and engagement colleagues.  This position requires occasional evening hours, with potential for weekend work as mutually agreed. Some remote work is also possible. Approx. Sep 8, 2026 Feb 12, 2027; 20-24 hours per week, preferably Tues/Wed/Fri
Job Duties
Artist Liaison Duties 30%
Provide coordination and oversight for all artist services-related activities at Northrop, including operational logistics, to ensure smooth event experiences for visiting artists. Communicate with artist representation and company management to coordinate logistics including:

• Scheduling and itineraries for all artist activities related to Northrop Presents events
• Artist Hotel rooming lists and coordination 
• Arrival, departure, and residency information for ground transportation coordination. 
• Artist hospitality
• Artist ticketing and front of house requests/needs (late seating, comp ticket requests, etc)
• In coordination with Technical Director, advance information to artists/managers to reiterate pertinent contract details, and to provide helpful information prior to the engagement

Event Duties 25%

• Collaborate with campus providers and external vendors to arrange transportation, lodging, catering, hospitality, parking, accompanists, and other contractually agreed support in accordance with Northrop and University policy. 
• Be available onsite during artist engagements, and/or ensure appropriate Northrop staff availability at all times when artists are in the venue.
• Execute day-of performance duties such as setting out and monitoring hospitality food (purchasing hospitality items as needed in advance or on show days), comp ticket requests, coordinating merchandise sales, etc.
• Establish and maintain effective working relationships that promote positive teamwork and support of Northrop. Keep a positive attitude in a high-volume and fast-paced environment in the office, in all interactions with artists and artist representatives, and at performances.

Budget and Finance Duties 20%

• Process all payment-related documentation to ensure that Northrop Presents artists and vendors are paid for services in a timely manner.
• Track Artist Expenses using established Northrop and University documents.

Arts Administration Duties 25%

• Create and maintain documents to facilitate internal information-sharing regarding Northrop Presents engagements.
• Assist in coordinating Northrop Presents internal pre- and post-event meetings, including preparation of meeting materials, meeting notes and meeting facilitation as requested. 
• Attend and take notes at Northrop Organ Advisory Board meetings.
• Ensure that all Northrop Presents performances and related activities are kept up to date on Northrop calendar(s).
• Participate in departmental program evaluation, including artist surveys and debriefs.
• Delegate tasks as needed to Artistic Programs & Education Intern.
• Perform other duties as assigned and deemed necessary in contributing to the mission of Northrop.

REQUIRED QUALIFICATIONS: 

• A bachelor's degree or a combination of related education and work experience to equal four years.; At least one year of this experience should be within performing arts administration or in event coordination and planning
• Valid Driver's license.
• Experience with Google Suite including Google Calendar. 
• Experience coordinating multiple assignments with different and competing deadlines. 
• Ability to work with diverse groups of partners, constituents, and colleagues.
• Excellent verbal and written communications skills.
• Availability to work occasional evenings and weekends, depending on the event schedule.

PREFERRED QUALIFICATIONS: 

• Previous experience in a customer service role and excellent customer service skills
• Experience working with performing arts, especially dance and music

Pay Range: $20.00 - $24.00 a hour; depending on education/qualifications/experience.
