Positionย Overviewย 

Reporting to the Director of Event Services, the Events Services Specialistย isย a full-time position responsible forย planning, coordinating, and executing events fromย initialย inquiryย and site visitsย throughย on-site event management andย final wrap-up. This roleย servesย as the primary point of contact for clients, vendors, and internal teams, ensuring eachย eventsย runs smoothly, stays on budget, and meets client expectations.ย This role is ideal forย a highly organized, customer-focused, and detail-orientedย professionalย excited to manage a wide range of eventsย in the fast-paced hospitality environment at I-House.ย 

Key Responsibilitiesย 

Event Planning &ย Managementย ย 

  • Respondย promptlyย toย clientย inquiries and create rental agreementsย 
  • Conduct site visits and walkthroughs to confirmย logisticsย andย identifyย potential issues before they ariseย 
  • Coordinate eventย logisticsย including venue set up, catering, AV/ technicalย needsย and studentย staffingย 
  • Develop and manage event timelines,ย summaries,ย floor plans, and run-of-show documentsย 
  • Ensure estimates are reviewed and approved by clientsย in a timely mannerย 
  • Serve as the on-site Event Manager forย events, overseeing operations and resolving issues as they ariseย 
  • Manage on-site event execution, troubleshooting issues in real timeย 
  • Collect and analyze post-event feedback to improve future eventsย 
  • Maintain events calendars and ensure no scheduling conflictsย 
  • Ensure compliance with permits, insurance, and safety regulationsย 
  • Utilize web-based event and room booking software to:ย ย 
    • Place and manage event holdsย ย 
    • Monitor internal and external event calendarsย ย 
    • Track major campus events and scheduling impactsย ย 
  • Create and deploy digital signage for events.ย ย 
  • Maintain event inventory and ensure availability of equipment and supplies, including tables, chairs, and related materials.ย ย 
  • Organize storage areas and coordinate restocking of event supplies as needed.ย 

Student Worker Oversightย ย 

  • Create and manageย student staff schedules ensuring room turnover schedules areย timelyย and efficientย 
  • Trainย student staffย on where/how equipment is moved and set up in each spaceย 
  • Assists Catering Manager withย studentย trainingย and support student catering staff andย cateringย leadsย as neededย 
  • Daily/Weekly oversight ofย student shiftsย for room transitionsย 

Internalย Collaborationย ย 

  • Worksย closely with internal departments to support and advanceย I-Houseย events.ย ย 
  • Coordinate with the Production Manager toย ensureย allย the production department understands the scope of internal events.ย 
  • Attend Catering Lead, Housekeepingย andย RIOย Event team meetings.ย ย 
  • Contribute ideas and recommendations to improve departmental operations and client service.ย ย 

Other duties as assigned.ย 

Minimum Qualificationsย 

  • Minimum ofย twoย yearsย of experience in event planning, hospitality, catering, orย a relatedย field.ย ย 
  • Positive, can-doย attitude who is comfortable working independently and as a part of a team with a propensity for action and follow throughย 
  • Strongย interpersonal, problem-solving,ย and customer service skills with the ability to communicate effectively with diverse clients, coworkers, and campus partners - including international students, scholars, and researchers.ย ย 
  • Strong organizationalย and multitaskingย skillsย whileย maintainingย exceptional attention to detail.ย 
  • Strong negotiation and vendor management skillsย 
  • Prior experience supervising or mentoring student employees or volunteersย 
  • Ability to manage multiple projects simultaneously in a fast-paced environment.ย ย 
  • Strongย computerย and typingย skills, includingย proficiencyย in using software likeย Microsoft 365 products (Word, Excel, etc.), Adobe Acrobat, andย otherย desktop applications.ย 
  • Proficiencyย with event scheduling or room booking software; experience withย ReserveCloudย (Infor) or similar platforms preferred.ย 
  • Abilityย toย workย aย genuinely flexible schedule is essential to this role.ย No two weeks look the same.ย ย 

Working Conditionsย 

  • This roleย regularlyย requires work on evenings, weekends, and some holidays.ย Hours mayย varyย from week to week depending on organizational needs.ย ย 
  • This is a fast-paced environment with extended periods of standing or walking, up to 6-8 hours per workday. In addition, I-House has stairs thatย youย may need to climb often and quickly in this position.ย 
  • Ability to regularly lift, move, and carry up toย 75ย pounds, including tables, chairs, and event equipment.ย ย 

Preferred Qualificationsย 

  • Bachelor's degree in Hospitality Management, Event Planning/ Management, orย a relatedย field.ย 
  • Experience working with or within a multicultural or international community.ย 
  • Familiarity with UC Berkeley's campus, departments, culture, and administrative structures.ย 
  • Experience coordinating with external vendors and managing vendor relationships.ย 

Compensation and Benefitsย 

  • FLSA Status: Non-exempt, full-time (40+ hours per week)ย 
  • Pay range:ย $33.20ย - $35ย paid hourly, eligible for overtimeย ย 
  • Pay isย commensurateย with experience and qualifications.ย

  • Retirement: Eligible employees mayย participateย in our 403(b)-retirement plan. I-House offers a 100% employer match on employee contributions up to 5% of eligible compensation and anย additionalย employer non-elective contribution for eligible employees,ย in accordance withย the terms of the plan.ย 
  • Time-off:ย Accrueย up toย 18 daysย of paid vacationย annually,ย earnย 14 paid holidaysย each year,ย andย accrueย paid sick time.ย 
  • Location: This role requires on-site presence and engagement with staff, leadership, and stakeholders in Berkeley, CA.ย No remote work options are available for this role.ย
