Intellectual Property Legal Assistant


Location: Brookfield, WI / Madison, WI / Minneapolis, MN
Job Type: Full-Time


We are seeking an experienced Intellectual Property Legal Assistant / Paralegal to support attorneys and clients in a fast-paced legal environment. The ideal candidate will have prior experience working within an Intellectual Property practice group and strong skills in organization, calendaring, docketing, and deadline management.

Key Responsibilities

·         Manage attorney calendars, deadlines, docketing, and scheduling.

·         Monitor critical filing deadlines for intellectual property matters.

·         Prepare, format, revise, and proofread legal correspondence and IP documents.

·         Coordinate electronic filings and maintain accurate client and matter records.

·         Communicate professionally with attorneys, clients, courts, vendors, and government agencies.

·         Assist with patent and trademark applications, filings, renewals, and maintenance.

·         Organize and maintain electronic and physical case files.

·         Support billing, time entry, expense processing, and other administrative tasks.

·         Identify workflow improvements and assist with evolving departmental needs.

·         Handle confidential information with professionalism and discretion.


Qualifications

·         Prior experience in an Intellectual Property legal practice group is required.

·         Experience as a Legal Assistant, Paralegal, or hybrid legal support professional in a law firm.

·         Strong knowledge of patents, trademarks, copyrights, or related IP matters.

·         Excellent organizational skills and attention to detail.

·         Strong calendaring and deadline-management abilities.

·         Excellent written and verbal communication skills.

·         Ability to manage multiple priorities and work independently.

·         Proficiency with Microsoft Office Suite and legal practice management software.

·         Experience with IP docketing systems and USPTO filings is preferred.
