Job description

About Collectly
Collectly is a fast-growing healthcare technology company transforming revenue cycle management (RCM) through AI-driven automation. Millions of patients navigate inefficient billing systems every day, while providers face delayed payments, rising administrative burden, and operational complexity.
Collectly applies artificial intelligence to automate workflows, accelerate cash flow, and modernize the patient financial experience; enabling healthcare organizations to operate more efficiently and focus on delivering care.
There could not be a hotter space to play in. Healthcare is a $4.9T industry and is adopting AI technology at 2.2x the rate of the rest of the economy. RCM is at the heart of this transformation as it has a clear and demonstrable ROI to our customers.
The Opportunity
We are seeking a highly motivated and experienced Implementation Manager with experience in healthcare tech to join our team. As an Implementation Manager, you will play a pivotal role in overseeing the successful integration and deployment of our SaaS solutions within healthcare facilities and organizations.
Please note: This role is hybrid - candidates located in the San Francisco Bay Area only will be considered.
Key Responsibilities
  • Project Management: Lead end-to-end implementation projects, ensuring timelines, milestones, and deliverables are met according to client expectations.
  • Client Engagement: Serve as clients' primary point of contact during the implementation phase, understanding their needs, and providing expert guidance to align our solutions with their requirements.
  • Training and Onboarding: Develop and conduct comprehensive training sessions for client stakeholders, ensuring seamless adoption and utilization of our software.
  • Customization and Configuration: Collaborate closely with clients and internal teams to customize and configure our software solutions to meet specific client needs while adhering to best practices.
  • Issue Resolution: Proactively identify and address any implementation-related issues or challenges, providing timely resolutions to maintain project momentum.
  • Documentation: Create detailed documentation of implementation processes, configurations, and client-specific requirements for future reference and improvement.
  • Cross Functional Collaboration: Working across multiple departments (Sales, Customer Success, Product, Engineering) to ensure successful implementation and deployment of new products.

What Success Looks Like
In the First 90 days, you will:
  • Complete the Healthcare Financial Management Association CRCR training with a passing score.
  • Successfully complete the Collectly Implementation Manager onboarding program.
  • Develop a strong foundational understanding of the Collectly platform, including core workflows and capabilities.
  • Gain fluency in the Collectly Implementation Framework and delivery methodology.

Within the First Two Quarters, You Will:
  • Successfully lead and deliver at least three customer implementations from kickoff through go-live.
  • Demonstrate a clear understanding of implementation nuances across Collectly's product lines, including Post-Service, Time of Service, and Pre-Service.
  • Build proficiency with implementation tools, systems, and best practices to drive efficient, high-quality deployments.
  • Establish strong, collaborative relationships across cross-functional teams, including Product, Engineering, Customer Success, and Sales.

Required Qualifications
  • Experience: 3+ years of experience in software implementation within the healthcare industry or healthcare SaaS.
  • Project Management Skills: Proven track record of successfully managing complex implementation projects from initiation to completion.
  • Communication Skills: Excellent written and verbal communication skills to convey project information clearly and concisely.
  • Technical Proficiency: Familiarity with healthcare software systems and ability to comprehend technical concepts for effective communication with development teams.
  • Client-Focused: Strong interpersonal skills with the ability to build and maintain excellent relationships with clients while understanding their unique needs.
  • Problem-Solving: Ability to analyze issues, think critically, and provide effective solutions in a fast-paced environment.
  • Team Player: Collaborative attitude with the ability to work effectively within a team and across departments. Adaptable team player who thrives in a fast-paced environment. Comfortable in a collaborative culture, both giving and receiving feedback.
  • Alignment with Collectly's GTM Values:
    • We are owners - we have humility and put the team first.
    • We know our numbers - we are data-driven and understand how to impact our business internally and our customers' business externally.
    • We are AI powered - we automate easy repetitive tasks and research so we can solve harder problems and have a greater impact.
    • We are one with the Buffalo - we expect that there will be challenges along the way and, like the Buffalo, we confront these challenges head on by running INTO the storm.

Core Competencies
  • Implementation & Project Management Excellence: Effectively plans, executes, and delivers implementations on time and within scope. Skilled in managing timelines, risks, dependencies, and stakeholder expectations across multiple concurrent projects.
  • Client-Facing Communication & Relationship Management: Builds trust with clients through clear, proactive communication. Able to lead meetings, manage expectations, navigate challenges, and drive alignment with diverse stakeholder groups.
  • Technical & Product Acumen: Develops a strong understanding of the Collectly platform and implementation tools. Comfortable translating business requirements into system configurations and troubleshooting issues in collaboration with technical teams.
  • Cross-Functional Collaboration: Works seamlessly with Product, Engineering, Sales, and Customer Success teams to ensure successful implementations. Advocates for client needs while aligning with internal priorities and processes.

Preferred

  • SaaS Implementation Experience: Experience implementing SaaS-based solutions, ideally in healthcare or revenue cycle management environments. Familiarity with cloud-based deployment models, system integrations (e.g., APIs, EHR/PM systems), data migration, and configuration best practices. Demonstrates an understanding of scalable implementation approaches and client onboarding in a SaaS environment.

Why You'll Love It Here
