It involves a balance of client-facing support, behind-the-scenes administrative and data entry tasks, and ongoing collaboration with clinical and administrative staff at Aviva. The Intake Coordinator is the first point of contact for new clients and will determine fit with our team and  guide clients from initial outreach to scheduling their first session.

This role is currently part-time, with the potential to become full-time in the future based on business needs and performance. While hours for part-time work will be determined collaboratively with the prospective employee, the position requires availability during the business hours of 9 AM to 5 PM. The role is fully remote, with the option to work hybrid in our Boston or  Northampton, MA offices.

  • Self-motivated with a strong work ethic and growth mindset
  • Collaborative, professional, and dependable
  • Clinical training and/or background in psychology is ideal but not essential

Intake & Client Communication

  • Manage all incoming inquiries from prospective clients via phone, email, or web form.
  • Provide timely, clear, and compassionate communication to individuals seeking care.

  • Efficiently integrate information to make quick decisions to facilitate clinical fit based on client needs and clinicians’ interests/skills.
  • Use outstanding clinical intuition to feel confident both making and communicating decisions about clinical fit to clients, staff, and clinicians.
  • Support clients in understanding practice policies and procedures.
  • Be highly responsive  to  client and staff questions and clinical assignments. Consistently track and follow up until loops are closed.

  • Support the Administrative Coordinator and leadership with additional projects and tasks as needed.

Team Collaboration

  • Get to know clinical staff well to facilitate fitting client assignments. Attend weekly  staff meetings and break out rooms  to learn different staff members’ clinical and interpersonal styles.
  • Work closely with clinicians to ensure smooth onboarding and continuity of care for clients.
  • Identify and escalate complex issues to appropriate team members.
  • Communicate effectively and maintain professional boundaries.
