Job description

Katie L. Lewis, P.C. is seeking a full-time Intake Specialist to serve as the first point of contact for prospective clients navigating family law matters. In this role, you will speak with potential clients, gather key information, guide them through the intake process, and help create a smooth transition into consultation and onboarding.

This position is ideal for someone who communicates with empathy and professionalism, follows established processes carefully, and maintains accuracy in a client-sensitive environment. You will play an important role in supporting prospective clients, protecting attorney time, and helping the firm deliver a high standard of service from the very first interaction.

Compensation:

$50,000 - $75,000 yearly


Responsibilities:
  • Conduct initial conversations with prospective clients, gather key information about their situation, concerns, and goals, and help them understand next steps in the consultation process

  • Evaluate inquiries for fit based on firm criteria, screen out unqualified leads, and route qualified prospects appropriately to protect attorney time and support effective scheduling

  • Schedule consultations, maintain accurate calendars, and ensure prospective clients receive clear expectations about the process and what comes next

  • Support new client onboarding by sending engagement materials, coordinating follow-up, and helping clients feel informed and welcomed throughout the transition

  • Maintain accurate records, data entry, and documentation in the case management system to support intake, onboarding, and current client file organization

  • Follow up with prospective clients before and after consultations to maintain continuity, answer process-related questions, and support conversion

  • Communicate with current clients as needed to maintain responsiveness and reinforce a high standard of client care

  • Assist with administrative and operational tasks such as email communication, spreadsheet updates, research, and related clerical support

  • Coordinate with attorneys, teammates, and marketing partners to support awareness efforts, referral relationships, and overall intake effectiveness

  • Raise concerns early, communicate clearly, and help resolve issues in a calm, professional, solution-oriented manner


Qualifications:
  • Strong client-service orientation and the ability to communicate with empathy and professionalism during difficult conversations

  • Ability to follow established procedures carefully while maintaining sound judgment and consistent follow-through

  • High attention to detail in written communication, scheduling, documentation, and data entry

  • Clear written and verbal communication skills, including strong spelling and grammar

  • Dependable work habits, proactive time management, and the ability to stay prepared and responsive in a fast-moving environment

  • Comfort working collaboratively with attorneys and teammates while supporting shared goals

  • Solution-focused mindset with the maturity to receive feedback, adapt, and improve over time

  • Proficiency with common office applications, calendars, and case management or CRM systems

  • Customer service experience required; legal experience preferred

  • Experience with Microsoft Office and related office tools required; advanced spreadsheet proficiency is a plus
