Summary / Objective
We are seeking an organized and customer-focused Assistant Property Manager to support the daily operations of a portfolio of commercial, apartment, and condominium properties throughout Rhode Island. This role serves as a primary point of contact for tenants and vendors while working collaboratively with the Property Manager, Finance amp; Accounting, and Facilities teams to ensure properties are well-maintained and operating efficiently.

Essential Functions
  • Respond to tenant inquiries, requests, and concerns in a timely and professional manner
  • Support Property Manager with daily operational activities for assigned properties
  • Conduct property inspections and document maintenance needs
  • Coordinate maintenance and repair work orders with vendors and facilities team
  • Process lease renewals
  • Support rent collection efforts and follow up on delinquent accounts
  • Conduct move-out inspections
  • Serve as primary contact for Housing Authority relationships, including voucher program coordination, tenant certifications and recertifications, inspection scheduling, and compliance with Housing Authority requirements
  • Maintain accurate property files, records, and documentation
  • Coordinate vendor services and obtain bids for maintenance projects
  • Support budget preparation and monitor property expenses
  • Schedule and attend property meetings and events
  • Support the enforcement of lease terms and property rules and regulations
  • Respond to emergency situations and coordinate appropriate responses
  • Prepare reports and correspondence as needed
  • Ensure compliance with fair housing laws and safety regulations
  • Perform administrative duties including filing, data entry, and scheduling
  • Maintain positive relationships with residents and tenants
Qualifications amp; Competencies
  • Associate's or Bachelor's degree in Business, Real Estate, or related field; or equivalent work experience
  • 1-3 years of property management experience or related customer service experience
  • Strong customer service orientation and interpersonal skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite and property management software
  • Strong organizational and multitasking abilities
  • Problem-solving skills and ability to handle challenging situations
  • Valid driver's license and reliable transportation
  • Ability to work flexible hours including occasional evenings and weekends
  • Basic knowledge of building systems and maintenance
  • Experience with commercial and/or residential property management (preferred)
  • Knowledge of New England landlord-tenant laws (preferred)
  • CPM, ARM, or other property management certification, or willingness to obtain (preferred)
  • Experience with Yardi, AppFolio, or similar property management systems (preferred)
  • Bilingual capabilities (preferred)
  • Ability to thrive in a collaborative, team-oriented environment
  • High standards of ethical conduct and professionalism
