Job description

Concierge Insurance & Financial Coordinator

 
Reports To: Practice Administrator / Dr. Richard A. Berger
Status: Full-Time, 40 hours/week, Onsite
 
Position Summary
The Concierge Insurance & Financial Coordinator serves as the primary financial advocate and insurance resource for patients seeking care with Dr. Richard A. Berger. This role delivers a white-glove, concierge-level experience by guiding patients through every financial aspect of their surgical journey from the initial consultation through postoperative care.
As the financial liaison between patients, insurance carriers, employers, third-party administrators, and the clinical team, this individual ensures patients clearly understand their benefits, anticipated out-of-pocket expenses, reimbursement opportunities, payment options, and financing resources. The coordinator proactively removes financial barriers while supporting the practice's commitment to exceptional patient service, transparency, and operational excellence.
 
Primary Responsibilities
 
Concierge Patient Experience
  • Serve as the dedicated financial point of contact throughout each patient's surgical journey.
  • Provide personalized financial consultations in person, by phone, and virtually.
  • Deliver a concierge-level experience that reflects the practice's commitment to exceptional patient care.
  • Build trusted relationships with patients and families while maintaining the highest level of professionalism and confidentiality.
Insurance Verification & Benefit Analysis
  • Verify commercial insurance benefits and determine out-of-network reimbursement eligibility.
  • Interpret complex insurance plans, deductibles, coinsurance, out-of-pocket maximums, and exclusions.
  • Coordinate prior authorizations and medical necessity documentation when appropriate.
  • Maintain current knowledge of commercial insurance plans and reimbursement trends.
Financial Counseling
  • Prepare customized financial estimates for surgical procedures.
  • Educate patients regarding expected financial responsibility before surgery.
  • Explain payment policies, financing options, and available resources.
  • Assist patients in understanding reimbursement timelines and documentation requirements.
  • Coordinate payment arrangements while maintaining a patient-first approach.
Insurance Advocacy
  • Act as a liaison between patients and insurance carriers.
  • Assist patients with reimbursement documentation and required claim forms.
  • Collaborate with employers, third-party administrators, and case managers when appropriate.
  • Help resolve insurance-related questions before and after surgery.
Revenue Cycle Support
  • Ensure complete financial clearance before surgery.
  • Collect deposits and patient payments according to practice policies.
  • Monitor outstanding balances and coordinate timely follow-up.
  • Work closely with billing personnel to ensure accurate documentation and reimbursement.
Cross-Functional Collaboration
  • Partner with physicians, surgical coordinators, scheduling, marketing, and administrative staff to provide a seamless patient experience.
  • Communicate financial considerations that may impact scheduling or patient readiness.
  • Participate in process improvement initiatives focused on patient satisfaction and operational efficiency.
Qualifications
  • Minimum 3–5 years of experience in healthcare financial counseling, insurance coordination, patient financial services, or medical billing preferred. 
  • Strong understanding of commercial insurance, out-of-network benefits, prior authorizations, and reimbursement processes.
  • Experience in orthopedic surgery, ambulatory surgery, or concierge medicine preferred.
  • Exceptional communication and customer service skills.
  • High level of professionalism, discretion, and emotional intelligence.
  • Strong organizational skills with the ability to manage multiple patient cases simultaneously.
  • Proficiency in electronic medical records (EMR), Microsoft Office, and practice management software.

Pay Range: Starting at $55 - 65k annualized. Compensation at MOR is determined by many factors, which may include but are not limited to, job-related skills and level of experience, education, certifications, geographic location, market data and internal equity.
