Job Title: HR Assistant / Case Manager
Job Description
The HR Assistant / Case Manager provides comprehensive case management for all types of leave of absence and disability life events. In this role, you serve as a trusted point of contact for employees, guiding them through the full lifecycle of their leave or disability event, ensuring they receive appropriate benefits, support, and clear communication. This position offers the opportunity to gain corporate-level experience in a fast-paced, high-volume environment while applying state and federal laws and best practices in leave and disability case management.
Responsibilities
  • Initiate and respond to employee inquiries regarding leave of absence and disability events, benefits, and available options.
  • Serve as the primary point of contact for an assigned caseload of approximately 150-200 employee cases, providing holistic case management services.
  • Review medical documentation to adjudicate leave requests in compliance with applicable leave plans, federal and state laws, and benefit plans.
  • Apply duration guidelines, best practice tools, and company resources to oversee and monitor leave events from beginning to end.
  • Critically assess and adjust case management plans to accommodate changing employee needs throughout the leave or disability event.
  • Address and respond to sensitive situations, troubleshooting issues and removing barriers before, during, and after leave events.
  • Ensure effective communication of employee-impacting issues during the leave event to employees and relevant stakeholders.
  • Facilitate smooth return-to-work and ramp-back plans for employees transitioning back into the workplace.
  • Educate managers and business partners about employee concerns, needs, and processes related to leave and return-to-work.
  • Provide regular updates to employees and stakeholders verbally and in writing, maintaining a strong customer service focus.
  • Ensure compliance with standard work practices, federal and state regulations, and company policies in all case management activities.
  • Maintain accurate and timely system records and documentation for all leave and disability cases.
  • Consult, coordinate, and partner with third-party administrators, HR, Safety, Legal, Payroll, Benefits, team members, and other departments and systems as appropriate.
  • Apply knowledge of state and federal laws, including ADA/ADAAA and FMLA, when adjudicating and managing leave and disability cases.
  • Handle confidential information with discretion and in accordance with applicable policies and regulations.
  • Provide guidance to employees and managers on leave of absence, disability plans, accommodations, human resources matters, benefits, and related employee issues.

Essential Skills
  • At least 1 year of experience as a case manager using case management systems, reviewing cases for eligibility, determining appropriate benefits, and establishing and executing a case management plan.
  • 6 or more years of relevant experience may qualify in lieu of a Bachelor's degree.
  • 2 or more years of experience in Human Resources or customer service in a leave and/or disability field may be substituted for 1 or more years as a case manager.
  • Proficiency in MS Word, Excel, Access, Outlook, and PowerPoint.
  • Strong customer service focus with a commitment to high standards and continuous improvement.
  • Ability to be adaptable and flexible in response to changes and new scope of work.
  • Excellent verbal and written communication skills.
  • Excellent organizational and time management skills.
  • Strong technical skills and computer aptitude, including the ability to quickly learn new systems and navigate multiple systems or windows simultaneously.
  • Ability to prioritize, manage, and complete work and projects under tight deadlines.
  • Experience with end-to-end case management, including adjudication and application of state and federal laws.

Additional Skills & Qualifications
  • Knowledge of federal and state leave and disability regulations, specifically ADA/ADAAA and FMLA.
  • Experience working with confidential information in a professional setting.
  • Experience providing case management services for a large, multi-state employer or on behalf of a carrier or third-party administrator.
  • Experience providing guidance to employees or managers on leave of absence, disability plans, accommodations, human resources, benefits, or employee matters.

  • Ability to interpret and apply state and federal laws when adjudicating leave and disability cases.

Work Environment
This role is 100% remote and requires a dedicated, professional work-from-home setup. You work within a fast-paced, high-volume corporate environment, managing a large caseload while adhering to a virtual work-from-home policy. You will use multiple technology platforms and case management systems, along with standard office software such as MS Word, Excel, Access, Outlook, and PowerPoint. The position involves regular collaboration with cross-functional teams, including HR, Safety, Legal, Payroll, Benefits, and third-party administrators, and requires the ability to manage tight deadlines and shifting priorities from a home-based office setting.

Pay and Benefits
The pay range for this position is $23.00 - $23.00/hr.
