Job description

Position Summary
The Assistant Account Manager provides front-office and administrative support for the branch while also assisting Account Managers with day-to-day servicing tasks for client accounts. This role combines receptionist and office operations duties with a growing set of account-support responsibilities, offering a strong entry point into the insurance account management career path. This position is well suited to a detail-oriented, organized individual who enjoys variety, works well under deadlines, and is eager to build technical insurance servicing skills.
Front Office & Office Operations Responsibilities
  • Greet and welcome visitors, clients, and vendors in a professional and friendly manner.

  • Accept and distribute all incoming deliveries.

  • Process and sort daily incoming mail; prepare and process outgoing FedEx and other courier shipments as needed.

  • Manage office supplies inventory, including monitoring stock levels and placing orders.

  • Oversee the copier/multifunction printer, including paper and ink/toner cartridge replacement and coordinating service calls with the vendor.

  • Maintain general office organization and support other administrative tasks as assigned.

Account Manager Support Responsibilities
This position provides meaningful day-to-day support to Account Managers, including:
Ordering and analyzing Motor Vehicle Records (MVRs)
Requesting and reviewing loss runs from carriers
Processing client change requests
Issuing Auto ID Cards
Issuing Certificates of Insurance
Preparing IFTA worksheets and documentation for renewals
Completing data entry in carrier portals as needed
Backing up Assistant Account Managers in other Texas Transportation offices
Ongoing insurance knowledge development and willingness to obtain applicable license
Qualifications
  • High school diploma or equivalent required; college coursework a plus.

  • Prior experience in an office, administrative, or customer service role.

  • Insurance industry experience or active, applicable insurance license preferred.

  • Strong organizational skills with excellent attention to detail and accuracy.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Professional verbal and written communication skills.

  • Proficiency with Microsoft Office (Word, Excel, Outlook) and ability to learn carrier and agency management portals.

  • Reliable, punctual, and able to maintain confidentiality of sensitive client information.

Physical Requirements
  • Ability to sit or stand at a workstation for extended periods.

  • Ability to lift and move packages/deliveries up to 25 lbs.

  • Ability to operate standard office equipment (computer, phone, copier, postage/shipping equipment).
