Retirement Plan Installation and Plan Document Manager

The Retirement Plan Installation and Document Manager is responsible for managing all aspects of installing new retirement plans- including Start-Up Plans, Takeover Plans, and conversions of existing plans transitioning to the firm. This includes drafting new plan documents, coordinating with internal teams and recordkeeping partners, and serving as the primary point of contact for clients and advisors throughout the installation process. This role ensures smooth, accurate, and compliant implementation from point of sale through the first deposit. The Retirement Plan Installation and Documents Manager leads client installation calls, sets expectations, and ensures every plan is installed accurately in the firm's systems and across partner platforms. This position includes ongoing document and amendment support. This is a remote or in person position that requires strong communication skills, industry knowledge, and exceptional attention to detail.

DELIVER SERVICE
  • Manage all aspects of installation and conversion projects, from document collection to first contribution
  • Serve as the primary contact for clients, advisors, and recordkeeping partners during the implementation process
  • Identify and consult with clients on solutions to ease the operation and administration of the retirement plan
  • Participate in and coordinate installation related calls with clients, advisors, and internal partners to review plan setup, document provisions, responsibilities, and key deadlines.
  • Establish new plans and create plan amendments using Relius and FT William Plan document systems in an accurate and timely manner
  • Review and prepare Plan Document comparison assessments, as needed
  • Generate all required regulatory notices and work with distribution partners for fulfillment

ESPRIT DE CORPS
  • Collaborate cross-functionally with internal departments (e.g., compliance, sales, operations, and client services) to ensure aligned processes and outcomes
  • Work directly with clients on amendment requests, regulatory document amendments, and document related special projects
  • Communicate effectively with Relationship Managers and/or Sales regarding any missing or incomplete data on the installation paperwork
  • Ability to work and communicate effectively across all areas within the organization

  • Strong organizational skills with the ability to manage multiple concurrent installation and document projects
  • Assist leadership in improving and streamlining the plan installation process
  • Maintain Client files and the Plan Document Library to be sure all Documents are current and up to date and saved

  • Expand expertise and role by seeking ways to help leaders and team members with special projects

BE EXPERTS
  • In-depth knowledge of retirement plan design and administration
  • Develop expertise relative to internal systems and processes used to install new plans
  • Develop and maintain a strong knowledge of the Relius and FT William Document systems to help improve the Client experience
  • Develop an understanding of retirement plan pricing and fee schedules to ensure accurate plan set up
  • Stay up to date on regulatory changes and retirement industry trends to ensure compliant and informed installation and ongoing document practices

  • Confirm and validate the accuracy of plan setup in internal systems and across external platforms

  • Proactively follow up with all plan team members regarding outstanding issues related to installation or plan amendments

Specific Knowledge, Skills, and Abilities
  • Experience with Relius and FT William software strongly desired
  • Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and Teams
  • Strong familiarity with industry software such as Pension Pro a plus
  • Excellent verbal and written communication skills, including the ability to clearly explain complex provisions to clients.

Education and Experience

  • Experience with high-touch client service and multiple recordkeeping platforms
