Position Overview

The Vehicle Inspection Scheduling Specialist plays a critical operational role in coordinating vehicle inspections across the firm’s active litigation docket. This position serves as the primary point of contact for scheduling inspections between clients, attorneys, retained experts, and opposing counsel. The role requires exceptional organizational skills, proactive follow-up, and meticulous recordkeeping to ensure inspections are scheduled, properly noticed, and completed without disruption to litigation timelines.

This position offers hands-on exposure to litigation workflow and case coordination within a structured, deadline-driven environment.

Requirements

Key Responsibilities
  • Coordinate vehicle inspections across a high-volume caseload by communicating with clients, attorneys, opposing counsel, and retained experts
  • Obtain availability from clients and experts and negotiate mutually agreeable inspection dates with opposing counsel
  • Confirm inspection logistics and ensure proper inspection notices are served in compliance with procedural requirements
  • Maintain detailed internal tracking systems to monitor inspection status across thousands of active cases
  • Proactively follow up on pending confirmations, outstanding availability, or scheduling conflicts to prevent delays
  • Verify that scheduled inspections proceed as planned and address issues in real time when necessary
  • Maintain accurate documentation of all scheduling communications and agreements
  • Provide high-volume administrative and case coordination support within a fast-paced litigation operations team
  • This role will be onsite in Century City, Los Angeles
  • Compensation: $28- 31/hr
