Job description

Document Control Assistant

Responsible for managing all incoming and outgoing documentation of the quality
assurance department, including management of QA Systems and Palm Oil Tracking.


The associateโ€™s primary functions and responsibilities are as follows:
Ensure that all documents from each production run and each production line are
accounted for and collected during each shift.
Create a package containing all processing documents of each product run, from
creation at mixing to the final packaged product.
Ensure that all submitted documentation is clear, concise, correct and complete.
Mark all corrections required for all documentation submitted and identify the
responsible parties involved.
Track all reports and deviations and complete a monthly summary to trend findings.
Must be able to work within a multi-disciplinary team and ensure that Companyโ€™s
quality & food safety expectations are being met and understood by all team
members.
Ensure proper documentation is submitted for regular, customer specific, organic
and allergen changeovers. Document and deviation tracking will be completed for
these documents as outlined above.
Employee will ensure that all pre-operational documentation is submitted for each
department for each shift. Document and deviation tracking will be completed for

corrective measures noted during inspection.
Employee will collect and review all quality audit reports that are completed by the
QA auditor, ensure they are signed off by the appropriate auditor, and filed.
Employee will review all Certificates of Analysis for incoming ingredients as they
are submitted and review them against the product specification standard.
Track all Palm Oil that is used in the facility in the designated Palm Oil Tracker.
Participation in internal and external audits, mock recalls, traceability (BRC/IFS),
and HACCP nonconformance verification.
Review receiving records, flour tailing record, personnel verification, pre-op
shipping and receiving, pre and post loading inspection checklist trailer and container, peanut testing log, sharp tool records, ingredient storage temperature
check record, tailgate and packaging meeting records, transfer receiving records,
etc.
Filing of BOLs, Sanitation Records, transfer orders, pre-shift inspection record,
drivers access controls and container switch files.
Perform other assigned duties.
Follow Health and Safety rules and regulations.
Must follow Good Manufacturing Practices, Food Safety, and Food Defense
guidelines.
Comply with all Company policies and procedures

Physical requirements
Must be able to lift up to 50 lbs.
Sitting involved.
May repeat the same movement.
Typing involved.

Must be able to work with minimal supervision.
Educational background in a business / food science background preferred.
Proficient in Microsoft Office applications, including Word, Excel, Outlook, and
PowerPoint, with the ability to create and manage documents, spreadsheets, email
communications, and presentations effectively.
Must have good math skills.
Strong organizational skills.
Great attention to detail with accuracy.
Ability to work in a fast-paced environment.
