Job description

POSITION:IT Operations Specialist


SUMMARY:The IT Operations Specialist supports the day-to-day technology, systems, and operational support functions of the organization.The IT Operations Specialist provides front-line technical support, coordinates technology setup and maintenance, assists with Yardi administration and property setup, supports operational technology improvements, and works collaboratively with staff and third-party vendors to improve organizational efficiency and user experience.

FLSA STATUS:Full-time, Non-exempt


ESSENTIAL EXPECTATIONS, DUTIES AND RESPONSIBILITIES:

  • Serve as a primary point of contact for day-to-day staff technology support and troubleshooting requests.
  • Assist staff with troubleshooting computers, printers, phones, scanners, Microsoft Office applications, Teams, and other common office technology systems.
  • Coordinate setup, deployment, maintenance, and replacement of computers, monitors, phones, and other office technology equipment.
  • Assist with employee onboarding and offboarding processes including workstation setup, account coordination, equipment deployment, and technology orientation.
  • Maintain and track organizational technology inventory and related records.
  • Assist with user account administration, permissions, and access management within Yardi and other organizational systems.
  • Assist with setup of new properties and entities within Yardi and related software systems.
  • Support implementation, testing, and continuous improvement of Yardi workflows, processes, and operational enhancements.
  • Work collaboratively with Accounting, Property Management, Compliance, Asset Management, and other departments to identify and improve operational workflows and system utilization.
  • Coordinate with third-party IT vendors and consultants to escalate and resolve advanced technical issues as needed.
  • Assist with technology procurement, vendor coordination, and operational technology projects.
  • Maintain operational procedures, technology documentation, training materials, and internal user guides.
  • Assist with scanning, electronic filing, and organization of operational and technology-related documentation.
  • Support organizational process improvement initiatives and assist with implementation of operational efficiencies.
  • Maintain confidentiality of sensitive organizational and employee information.
  • Perform other duties as assigned.


NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Attend meetings, training sessions, seminars, and workshops as appropriate.
  • Maintain professional and technical knowledge related to technology systems, operational support, Yardi, and organizational workflows.
  • Support departmental and organizational initiatives as needed.

QUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Associates degree in information technology, business administration, management information systems, computer science, or a related field required. Three to five years of experience in technology support, systems administration, operational support, property management systems support, business systems support, or a related field is preferred.


Experience supporting users in a professional office environment and troubleshooting common technology and operational issues is preferred. Experience with Yardi Voyager or similar property management or ERP software systems is strongly preferred.


Experience with software implementation, workflow improvement, onboarding support, or operational process coordination is a plus.


TECHNOLOGY SKILLS:Proficiency with Microsoft Office applications including Outlook, Word, Excel, Teams, and Adobe Acrobat is required. Ability to learn and utilize various software platforms, office technology systems, databases, and electronic document management systems is essential.


Experience supporting users with common office technology issues including printers, phones, scanners, and workstation setup is preferred. Experience with Yardi Voyager or similar business software systems is a plus.


LANGUAGE SKILLS:Excellent written, oral and interpersonal communication skills are required. Ability to communicate professionally and cultivate positive working relationships with a diverse range of people, both internal and external to the organization is essential. Communicate optimistically, positively, and with honesty and openness.


MATHEMATICAL SKILLS:Ability to perform basic business math and accounting calculations accurately. Ability to utilize spreadsheets, databases, and other software tools to summarize information, reconcile data, and track operational processes.


REASONING SKILLS:Ability to balance expectations with available financial and human resources will be a critical requirement for the organization's long term success.


CERTIFICATES, LICENSES, REGISTRATIONS:Valid driver's license with current vehicle insurance is required to meet the position's travel requirements, as needed.
