Job description

We are seeking a driven, sharp, and detail-oriented Executive Assistant to support our team of 2–5 members in driving daily office operations and client management. This is not a typical administrative position: you will be directly exposed to complex financial, tax, and insurance scenarios, playing a critical role in supporting our high-net-worth clientele.

Key Responsibilities

  • Manage complex calendars, schedule executive meetings, and maintain office workflow.

  • Act as a primary liaison between advisors, partners, and high-net-worth clients, maintaining absolute confidentiality.

  • Coordinate client meetings, prepare account documentation, and manage follow-ups.

  • Perform detailed data entry, records management, and document preparation using Microsoft Office and internal tools.

  • Assist with financial reporting, file reviews, and specialized client projects as needed.

Qualifications & Requirements

  • Work Preference: Must be fully committed to working in-person at our Owen Sound office.

  • Industry Experience or Professional Licensing (Preferred):

    • Life Insurance License (LLQP), Securities license, or Mutual Funds license, OR

    • A background in accounting with a CA or CPA designation (a strong asset for assisting with high-net-worth tax and holistic planning).

  • Strong proficiency in the Microsoft Office Suite (Word, Excel, Outlook).

  • Exceptional organizational skills, attention to detail, and proactive problem-solving abilities.

  • Post-secondary degree or equivalent relevant professional experience.
