Service Coordinator

Key Responsibilities

  • Manage and optimize the weekly dispatch and service schedule for field technicians traveling nationwide to client facilities.
  • Capture complete customer job information, verify purchase orders, and issue detailed job orders to technicians prior to site visits.
  • Manage inbound service calls, coordinating closely with the help desk and service managers to escalate and assign field service technicians when necessary.
  • Conduct pre-visit confirmations with clients at least one week in advance and follow up post-service to ensure customer satisfaction.
  • Maintain data integrity within the internal CRM and accounting tools, while coordinating with cross-functional teams like Finance and Operations.
  • Co-lead bi-weekly scheduling alignment calls with project managers, service managers, and the Director of Customer Service.

Qualifications (Must-Haves)

  • Minimum of 3 years in a customer service or high-volume administrative role.
  • Strong ability to coordinate schedules, manage complex logistics, and balance technician availability against client timelines.
  • Excellent verbal and written communication skills over phone and email, with a calm, professional approach under pressure.
  • Adaptable problem solver with high attention to detail, strong multitasking abilities, and a drive to take initiative.
  • Associate degree in business/related field OR equivalent practical experience.

Compensation & Benefits

  • Base Salary: $50,000 โ€“ $60,000 annually ($24.04 โ€“ $28.85/hr non-exempt)
  • Bonus Structure: $500 annual holiday bonus + pre-approved overtime potential
